HSE Administrative Assistant

Come Join an Inclusive Team This position performs administrative duties to support the Health, Safety and Environmental (HSE) Department at the LyondellBasell Morris, IL site and reports to the HSE Manager. A Day in the Life Administrative & Business Support: Create, track, and manage purchase requisitions; coordinate with vendors to obtain quotes and support procurement activities for site HSE programs, projects, and operational needs; and maintain HSE Elements pages and SharePoint sites. Reporting & Analytics: Manage key HSE processes and reporting systems, including OSHA reporting, PPE program administration, internal performance reporting, audit and corrective action management, and administration of HSE software platforms. Develop and maintain site KPIs and performance dashboards using Power BI, Intelex, SAP, and other reporting tools. Document Control & SOP Management: Facilitate the departmental procedure review process and serve as a super user for the document management system. Logistics & Coordination: Coordinate catering for approved events, audits, and meetings; arrange meeting rooms, materials, and logistics as needed; and coordinate travel arrangements and expense reporting. Safety & Compliance: Actively participate in site safety programs, ensure adherence to quality standards, and provide data and documentation support for audits and compliance activities. You Bring This Value High school diploma or GED required; A minimum of 3 years of administrative experience is required; Strong oral and written communication skills; Excellent interpersonal and organizational skills, with the ability to coordinate workflows, manage multiple priorities and build collaborative working relationships; Demonstrated ability to work independently, proactively identify opportunities for improvement, and implement administrative process enhancements; Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) and capable of learning and utilizing HSE-related systems and software applications. Preferred Qualifications Administrative experience in a manufacturing, industrial, or environmental health and safety environment; Experience with data collection, reporting, and analytics tools, such as Power BI, SharePoint, SAP, Intelex, or similar systems, is preferred; Familiarity with OSHA reporting and work-hour calculations.
