Merchandising Executive Assistant

The Breakdown:

The Merchandising Executive Assistant is a key role responsible for providing seamless support to the CMeO and the Merchandising leadership team. This position combines high-level administrative support with project management responsibilities, ensuring the smooth execution and operation of daily activities, key initiatives, and strategic projects across the merchandising function as well as the Go to Market leadership team. If you are organized, proactive, and experienced in handling complex calendars, managing project timelines, coordinating with cross-functional teams, and supporting the CMeO in achieving strategic objectives, this may be the role for you!

Key Responsibilities:

1.CMeO Support and Administrative Management (~30%)

• Calendar & Meeting Coordination: Manage the CMeO’s calendar, scheduling high-priority meetings, coordinating with internal and external stakeholders, and optimizing time management.
• Meeting Preparation & Minutes: Prepare agendas, take comprehensive minutes, track action items, and ensure follow-up for CMeO-led meetings.
• Travel & Expenses: Coordinate domestic and international travel, manage itineraries, and ensure efficient travel logistics. Process expenses accurately and in a timely manner.
• Budget Management: Ensure merchandising’s expenses are maintained within budget and submit quarterly variance reports.
• Communication: Act as a point of contact on behalf of the CMeO, drafting communications and managing incoming correspondence with professionalism and discretion.

2. Project Management for Key CMeO Initiatives (~45%)

• Project Coordination: Support the CMeO in managing and tracking the progress of strategic projects.
• Timeline Management: Develop and monitor project timelines, identify milestones, and ensure deadlines are met.
• Cross-functional Collaboration: Liaise with internal stakeholders across teams to gather updates, track progress, and resolve issues impacting project success.
• Status Reporting: Provide regular updates to the CMeO on project progress, risks, and dependencies, supporting informed decision-making.

3. Merchandising and GTM Leadership Team Support (~25%)

• Meeting Coordination & Documentation: Organize and manage leadership team meetings (global and global+regional), take minutes, and ensure timely follow-up on key actions.
• Special Projects: Assist in the execution of cross-functional projects, as requested by the leadership team, acting as a reliable point of support and coordination.

Qualifications:

• Experience: 5+ years in executive support, project coordination, or a similar role, within merchandising or a dynamic, global environment.

This role is ideal for an organized and detail-oriented team player looking to play a pivotal role within a high-performing global merchandising team, while being the critical right hand to the CMeO. Given the vast exposure of this role, it is a great jumping off point into one of the many go-to-market functions, including merchandising, commercial, marketing and product.

Additional Position Details:

• This position is in a typical, stationary office setting. Over 80% of the day will be spent seated (and/or at a stand-up desk).
• This is an on-site role, based in Burlington, VT. Expectations for time on-site are aligned with the company’s Stance on Remote Roles. We will offer relocation assistance to move to Vermont to any candidate who is hired.
• The position requires minimal travel to assigned/supported offices, stores and/or other company locations.
• This is an exempt/salaried year-round position.

The hiring range for this role is $70,000-$90,000, depending on relevant experience and/or education, specific skills, function, and available budget. Please note that the range details above reflect the base pay only and does not include any potential bonus and other benefits that we offer.
