Department Assistant Bilingual Spanish

Location: Marshalltown, IA

We are seeking a Bilingual Department Assistant to provide administrative and operational support for a busy construction project team in Marshalltown, IA. This position will assist with craft payroll, timekeeping, new hire documentation, orientation, document control, and general jobsite administrative functions.

Fluency in English and Spanish is required , as this individual will assist Spanish-speaking craft employees with orientation paperwork, day-to-day communication, and translation of documents and jobsite information.

• Assist with weekly time entry for field craft payroll.

• Verify employee time entered through the jobsite badging/timekeeping system and coordinate corrections as needed.

• Assist with submitting and obtaining craft payroll correction checks.

• Perform data entry and maintain jobsite tracking logs.

• Enter and maintain apprentice information in third-party databases.

• Assist with new hire and orientation paperwork, ensuring documentation is accurate and complete before submission to payroll.

• Support Spanish-speaking employees during orientation and with ongoing jobsite communication.

• Translate documents, forms, instructions, and other paperwork between English and Spanish as needed.

• Provide general document control and administrative support.

• Coordinate incoming and outgoing UPS/FedEx deliveries.

• Maintain office supply inventory and place orders as needed.

• Assist with employee events, meetings, training sessions, and other jobsite activities.

• Provide additional administrative support to department and project management as needed.

• Bilingual English/Spanish required.

• High School Diploma or GED required.

• Minimum of 2 years of administrative, coordinator, or related support experience.

• Previous experience supporting a construction, industrial, or field project environment preferred.

• Experience supporting payroll, timekeeping, onboarding, or craft employees is highly desirable.

• Strong organizational and prioritization skills with excellent attention to detail.

• Strong written and verbal communication skills.

• Ability to work independently and respond effectively to urgent requests.

• Professional and positive demeanor with the ability to work effectively with a variety of personalities.

• Proficiency with Microsoft Excel and Word ; experience with Microsoft Access is beneficial.

• Experience with Oracle or similar business systems preferred.
