Position Overview The University Registrar is a senior administrative officer responsible for managing all facets of student records, registration, academic scheduling, and policy compliance. The position ensures the integrity of academic data, oversees graduation, enforces institutional policies, and manages student information systems. The Registrar reports to the Associate Vice Chancellor for Enrollment Management and collaborates with various campus committees. Primary Responsibilities and Duties Oversee the implementation and effective use of systems for student information, degree audit and other systems. Monitor academic progress of all students via graduation audits and other systemic methods. Coordinate graduation ceremonies, including degree clearance and diploma production. Direct the course registration process, manage classroom assignments, and develop the university's academic calendar. Ensure the accuracy and security of academic records, the registration process, verification of enrollment/graduation, transfer evaluation and articulation agreements, class scheduling, enforcement of academic policies and publication of the Course Schedule each semester. Oversee the management of policies, processes, and operations of the Registrar's Office to provide leadership, innovation, vision and accountability for the management of all records, registration policies, and services that support student success. Ensure adherence to federal and state regulations (e.g., FERPA) and interpret academic policies for faculty, staff, and students. Enforce academic policies, degree requirements and verify student eligibility for graduation. Certify eligibility of student‑athletes on the University's NCAA Division II intercollegiate athletics teams; process Veterans Benefits; implement all university policies and curriculum changes. Manage and analyze statistical data on registration and academic records. Prepare statistical reports on educational activities for government and educational agencies; interpret registration policies. Monitor and verify student enrollment data essential for official internal and external reporting related to academic and student records. Verify that students have met all degree requirements, coordinate conferral of degrees and production of diplomas. Maintain, archive, and protect the confidentiality of student transcripts and records, adhering to regulations like FERPA. Supervise, train, manage, evaluate, and develop staff within the office. Act collaboratively with the academic community in the development and effective implementation of academic policies and procedures, curriculum, and other areas of Registrar responsibilities. Coordinate university registration events (in‑person and virtual) in collaboration with Academic Advising, Financial Aid, Student Accounting, Residential Life, and other departments across campus. Required Knowledge, Skills, and Abilities Proficient knowledge of computerized data management systems and micro‑computing systems including Banner and the ability to continually adapt technology to enhance services. Strong understanding of best practices in student registration and records, and understanding the role of the Registrar in strategic enrollment management and student success. Knowledge of trends, issues, and accepted practices relevant to the position. Strong analytical, organizational and problem‑solving skills, as well as excellent interpersonal and communication skills. Detail‑oriented and customer‑service and compliance‑focused. Proven record of accountability and follow‑through. Keen knowledge of contemporary higher education registrar functions. Demonstrated creative problem‑solving skills. Skilled in budgetary and personnel administration. Ability to effectively communicate with leadership, students, staff, community and constituencies in a diverse community. Minimum Education and Experience Master's Degree with at least 10 years of progressive management in higher education, leadership and supervisory experience.
