Description

The Client Service Associate is responsible for providing day-to-day service and operational support to clients and Financial Advisors. This role serves as a primary point of contact for client inquiries, account-related needs, documentation, and service requests while helping ensure a responsive, accurate, and consistent client experience.

The Client Service Associate works closely with Financial Advisors and internal teams to support account management, financial planning activities, client communications, compliance requirements, and marketing coordination. This role requires strong communication skills, attention to detail, sound judgment, and a commitment to delivering a high level of client service.

Responsibilities

• Serve as a primary point of contact for clients, responding to inquiries, concerns, and service requests in a timely and professional manner.
• Provide accurate information regarding financial products, services, account processes, and firm procedures.
• Assist clients with account opening, closing, maintenance, transfers, and other account-related activities.
• Monitor and maintain client accounts to ensure accurate information and adherence to internal procedures and applicable regulatory requirements.
• Coordinate with internal departments to resolve account-related issues and support client needs.
• Partner with Financial Advisor to assist with the preparation and maintenance of financial plans.
• Provide clients with general information regarding investment options, risk management considerations, and financial planning processes under the direction of Financial Advisors
• Maintain accurate and current client records, documentation, and account information.
• Prepare, process, and track account-related forms and supporting documentation.
• Ensure client interactions, documentation, and transactions are completed in accordance with firm policies, procedures, and regulatory standards.
• Communicate with clients through phone, email, virtual meetings, and in-person interactions.
• Support the communication of relevant market, investment, and financial planning information provided by Financial Advisor.
• Address and resolve client service issues and escalate complex matters to Financial Advisor, management, or appropriate internal departments as needed.
• Support client satisfaction and retention through responsive communication, follow-up, and problem resolution.
• Assist with client education initiatives related to financial products, services, processes, and industry topics.
• Support the coordination of client meetings, educational sessions, workshops, and other client-facing activities.
• Coordinate with Financial Advisor, Concurrent’s Marketing department, and other internal stakeholders to develop and distribute approved marketing materials to current and prospective clients.
• Assist with maintaining client-facing materials and communications in accordance with firm brand and compliance requirements.
• Perform other related duties and responsibilities as reasonably assigned.

Qualifications

• Bachelor’s degree in Finance, Business Administration, Economics, or a related field preferred.
• Prior experience in client service, wealth management, financial services, advisory operations, or a related field preferred.
• Experience within a Registered Investment Advisor (RIA), broker-dealer, custodian, or similar financial services environment preferred.
• Strong understanding of client service practices, account administration, and financial services processes.
• Familiarity with investment products, financial planning concepts, and regulatory requirements preferred.
• Strong organizational and time-management skills with the ability to manage multiple priorities.
• High level of accuracy and attention to detail in documentation and account processing.
• Excellent written and verbal communication skills.
• Ability to work independently while collaborating effectively with Financial Advisor and internal teams.
• Proficiency with Microsoft Office Suite and CRM platforms.
• Experience supporting client communications, marketing coordination, or client-facing materials is preferred.
