NSC Staffing is seeking a detail-oriented Production Assistant to support Program Management Office (PMO) operations in San Diego, California. This role provides critical administrative and coordination support to production and project management teams, ensuring accurate documentation, efficient workflow, and organized job file management in a shipyard environment.

Position Overview

The Production Assistant is responsible for performing administrative and clerical functions that support shipyard production and project execution. This position plays a key role in maintaining project documentation, tracking reports and labor records, supporting production leadership, and ensuring efficient office operations. The ideal candidate is highly organized, proactive, and capable of working in a fast-paced environment with minimal supervision.

Administrative Support & Coordination

• Provide administrative support to Program Managers, Senior Project Managers, and Project Managers.
• Answer incoming calls and route to appropriate personnel.
• Assist with coordination of office activities and daily administrative tasks.
• Maintain a professional and organized office environment.

Documentation & Reporting

• Type and process Inspection Deficiency Reports (IDRs) submitted by Trade Supervisors.
• Submit and track IDRs with customers and prime contractors.
• File and organize reports, inspection records, and test documentation by work item and work order number.
• Maintain integrity of job files throughout the lifecycle of open work orders.
• Notify Production Managers of rejected or returned reports.

File & Record Management

• Maintain accurate and organized job files for all active and completed work orders.
• Track missing labor timesheets and timecard punches.
• Prepare copies of work orders and documentation for supervisors and project teams.
• Ensure all production records are properly archived and accessible.

Scheduling & Office Operations

• Process Personal Time Off (PTO) requests and update Outlook calendars accordingly.
• Submit approved PTO documentation to Payroll.
• Schedule meetings and take detailed meeting minutes.
• Draft basic memos, letters, and internal correspondence.

Supply & Equipment Management

• Coordinate ordering of office supplies and maintain inventory.
• Ensure office equipment is maintained and operational.
• Keep supply areas organized and stocked.

Additional Responsibilities

• Support production and project teams during peak workloads.
• Maintain flexibility to respond to business needs outside of standard hours when required.
• Perform additional duties as assigned.

Qualifications & Experience

Education

• High School Diploma or GED required.
• College coursework in Business or a related field preferred (minimum 2 years recommended).

Experience & Knowledge

• Minimum 2 years of experience in an office or administrative environment.
• Strong understanding of administrative processes, job tracking systems, and billing workflows preferred.
• Ability to work independently with minimal supervision.
• Experience supporting production or project teams in industrial or shipyard environments is a plus.
• Familiarity with skilled trades (welding, machining, electrical, etc.) preferred.

• Proficiency in Microsoft Office Suite (Excel, Word, Outlook required).
