As our Generator Service & Project Assistant, you'll play an important role in making sure service calls, installations, preventive maintenance visits, and customer projects stay organized from start to finish. This is more than a traditional administrative position. You'll work directly with the Generator Operations Coordinator, technicians, vendors, and customers while taking ownership of the scheduling, communication, documentation, and follow-up that keep our department running smoothly. What You'll Do You'll help turn service requests and project plans into organized, completed work. Your responsibilities will include: Service Scheduling & Coordination Schedule service calls, preventive maintenance visits, installations, and technician assignments. Coordinate customer availability, job requirements, equipment deliveries, and site access. Identify scheduling conflicts and communicate changes before they become problems. Project Support Track project timelines, outstanding tasks, permits, deliveries, and required documentation. Follow up with customers, vendors, and internal team members to keep projects progressing. Help ensure the right equipment, parts, and information are available when needed. Customer Communication Serve as a reliable point of contact for routine scheduling questions, service updates, and project follow-up. Communicate professionally with customers and keep them informed of next steps. Build positive working relationships by being responsive, organized, and dependable. Quoting, Purchasing & Warranty Administration Assist with preparing quotes and proposals, tracking approvals, and following up on outstanding estimates. Coordinate parts orders, vendor communication, purchasing details, and delivery arrangements. Maintain warranty documentation, submit claims, and track outstanding warranty issues through resolution. Documentation & Daily Operations Maintain accurate work orders, service records, project files, and customer information. Track open items and follow through until they are completed or appropriately escalated. Anticipate upcoming needs, communicate potential delays, and help improve day-to-day processes. Provide general operational support to the Generator Operations Coordinator as needed. Experience that would be helpful: Service scheduling, dispatching, project coordination, or field-service administration. Experience with contractors, electricians, HVAC companies, equipment dealers, or technical service businesses. Quoting, purchase orders, parts ordering, warranty administration, or service documentation. Familiarity with generators, electrical equipment, construction, or preventive maintenance. Industry experience is a plus, but it isn't required for the right candidate. We can help you learn the equipment and processes; we're looking for someone who already brings strong organizational skills, initiative, and a commitment to doing things right.
