Role Description

The Producer is a key member of TH Experiential's production team, responsible for managing the day-to-day execution of assigned projects under the direction of a Senior Producer or Executive Producer. You own your workstreams — tracking tasks, hitting deadlines, and keeping the team informed — and you bring real production craft to the work:

• Comfort on a load-in floor
• Growing fluency in fabrication and technical production
• Working knowledge of permitting requirements
• Financial accountability to track budgets in real time

You are detail-oriented, proactive, and organized, with the instincts to flag problems early and the judgment to know when to escalate. This role is the foundation of a production career at TH Experiential, with direct exposure to all stages of the production lifecycle.

What You'll Do

• Day-to-Day Project Execution
  • Support the production team in managing assigned projects from kickoff through event day and closeout, following TH's processes, templates, and quality standards.
  • Own your assigned workstreams — tracking tasks, hitting deadlines, and keeping all relevant stakeholders informed of status and any changes.
  • Attend all internal project meetings, take accurate notes, distribute action items, and follow up on open items without being asked.
  • Coordinate logistics across multiple project workstreams, ensuring nothing falls through the cracks as timelines shift and priorities evolve.
  • Communicate proactively — flag potential issues before they become problems, and bring solutions alongside them.
  • Travel to events as required, supporting on-site execution alongside the production team.
• Fabrication & Build Support
  • Work directly alongside fabrication shops and the production team on assigned build projects — understanding what's being constructed, how it's being built, and what it should cost.
  • Review drawings and spec sheets with guidance from a Senior Producer, asking the right questions and learning to read them independently over time.
  • Flag build issues when you spot them — bring the concern and your read of the situation to the Senior Producer early enough to course-correct before event day.
  • Develop familiarity with common materials, standard build costs, and the language used with fabrication vendors so you can have productive conversations with shops.
• Permitting & Compliance Support
  • Support the permitting process on assigned projects — gathering required documentation, tracking approval timelines, and coordinating with venues and municipalities under Senior Producer direction.
  • Understand COI and insurance requirements: know what vendors need to submit, chase down missing documents, and flag gaps before they delay the project.
  • Build awareness of market-specific permitting requirements and the triggers that kick off the permitting process for different event types.
  • Treat permitting as a producer responsibility, not an admin task — know where each project stands in the approval process at all times.
• Logistics & Onsite Execution
  • Support load-in and strike operations under Senior Producer direction — managing assigned logistics tasks, coordinating crew and BAs, and following the run-of-show with precision.
  • Brief and manage PAs and BAs on event day, holding them accountable to their assignments and escalating issues quickly and clearly when they arise.
  • Conduct site surveys independently on assigned projects — knowing what to look for, documenting findings, and communicating them to the production team.
  • Track freight, equipment, and shipping status for assigned project workstreams, flagging delays early.
  • Stay cool under pressure onsite: when something goes sideways, assess quickly and communicate clearly rather than reacting or freezing.
• Technical Production
  • Develop working familiarity with AV, power, lighting, and rigging so you can participate meaningfully in technical conversations with vendors and flag issues in pre-production and onsite.
  • Understand the basics: what power draws mean, what rigging requires, what questions to ask an AV or lighting vendor.
  • Know when something is outside your expertise and who to call — escalate technical risks to the Senior Producer early rather than late.
  • Grow your technical fluency project by project, with the goal of being able to identify technical risk independently at the Senior Producer level.
• Budget Tracking & Financial Accountability
  • Maintain and update the production budget in real time throughout the project lifecycle, ensuring the team always has a current picture of spend.
  • Track and log all project expenses, collect receipts and invoices, and submit them in a timely manner.
  • Reconcile actuals against estimates at project closeout, identifying and documenting any variances for the Senior Producer review.
  • Support the preparation of change order requests when scope evolves — documenting what changed, why, and the cost impact clearly.
  • Build budgets using approved TH templates under Senior Producer guidance, developing the skills to build independently over time.
  • Push back on at least one vendor line item per project: understand what things should cost and advocate for competitive pricing.
• Production Documentation
  • Create and maintain all standard production documents using approved TH templates: production timelines, run-of-show, production schedules, vendor contact sheets, and staff manuals.
  • Ensure all documents are version-controlled, clearly labeled, and accessible to the full project team at all times.
  • Prepare and distribute pre-event production packs with all critical information for on-site teams, vendors, and client contacts.
  • Support post-event recap materials, compiling photos, metrics, and key learnings for client and internal review.
  • Maintain organized project folders and keep all documentation current throughout the production process.
• Client & Team Collaboration
  • Represent TH Experiential professionally in client interactions — status calls, onsite check-ins, and written updates — under the oversight of a Senior Producer.
  • Communicate project status clearly and accurately: know what to include, what to leave out, and when to escalate a client situation rather than handle it solo.
  • Work cross-functionally alongside Account Management, Strategy, Creative, Design, and Operations to support seamless project delivery.
  • Contribute to all client-facing materials — timelines, decks, and production plans — before they go to clients, ensuring accuracy and alignment with brand standards.
• Learning & Growth
  • Actively learn TH Experiential's production process, tools, and standards — ask questions, seek feedback, and continuously close gaps in your craft.
  • Take on increasing ownership of project workstreams as your confidence and competence grow, building toward full lifecycle independence at the Senior Producer level.
  • Contribute ideas and observations that improve how the team works, documents, and delivers.
  • Build your vendor, shop, and freelancer network over time, developing relationships that will strengthen your production capabilities and TH's bench.

Qualifications

• 2–4 years of experience in event production, experiential marketing, or a closely related field.
• Experience supporting or co-producing projects up to $500K; comfort tracking budgets and actuals in real time.
• Ability to carry 1–2 concurrent projects simultaneously without dropping the ball.
• Some fabrication exposure: has worked with or alongside fabrication shops, can review drawings with guidance, and understands what things cost.
• Awareness of permitting requirements and experience supporting the process in at least one market — knows what COIs are and why they matter.
• Working familiarity with technical production basics: AV, power, and lighting fundamentals; can have a productive conversation with a technical vendor.
• Onsite experience including load-ins and site surveys; has managed PAs or BAs in a limited capacity.
• Experience creating and maintaining standard production documents (timelines, run-of-show, budgets, schedules) using templates.
• Self-starter with exceptional attention to detail and strong organizational skills.
• Clear, proactive communicator who keeps the team informed without being asked.
• Comfort working in a remote environment with distributed teams.
• Growth mindset: you dig into problems, learn quickly, take action, and welcome feedback.
• Ability to navigate ambiguity and stay calm under pressure when priorities shift.
• Proficiency in Excel, PowerPoint, Google Suite, Asana (or similar tools), and Slack.
