Job TitleInitiating contact with the internal and external customersAnswering internal and external customer callsCreate and validate status of work ordersUpdate and confirm customer contact information in SAPTracking and maintaining weekly overtime for represented employeesDaily monitoring and corrections of timesheets for represented employeesExperience creating and submitting expense reportsProcess email and meeting requests using Microsoft OutlookCreate and schedule meetings and training in Microsoft Outlook and Microsoft TeamsCollaborate with other business partners to facilitate the scheduling of work ordersCreate and maintain weekly work schedules and daily rosters in Crew ManagementCapture meeting minutes and notes for review by team and leadersMaintain departmental personnel, confidential files, and distribution listsReceive and distribute company and US mailOrder and maintain office supplies as neededOrder cell phones, ID badges, etc. for employees through e-formsProvide IT support as needed, i.e. submitting Help Desk ticketsMonitor and file billing test results that could be used in court proceedingsProcess 15 Day Notices where severe hazards are locatedHigh school diploma or equivalentDemonstrated experience coordinating work and clearly communicating with all levels of managementExperience using various operating system tools, i.e., SAP, CRM, MaximoProficiency in word processing, spreadsheet, presentation, and flow chart software, MS Excel, Word, PowerPoint, Outlook, SharePoint, Teams, Power BI and PowerAppsExperience analyzing cost and scheduling data and metricsExperience working with a diverse represented workforceExperience working in a demanding and fluid environmentProficiency in multi-tasking and competent organizational skillsKnowledgeable of AI tools and usesExpected to maintain a professional appearance and exhibit good personal grooming standardsFlexibility to work and or travel to different work locations for meetings and/or trainingAvailability to work storm duties as requiredAbility to follow instructions and guidelines accuratelyStrong attention to detail and adherence to proceduresAbility to collaborate with cross-functional teams to resolve challenges and improve processesAbility to protect the integrity and confidentiality of sensitive company information by implementing and following security protocolsAbility to work independently, manage multiple assignments, and make decisions with minimal guidance and proactively identify and resolve issues, and implement solutionsThis position is based in our office and requires daily on-site workWillingness to support in other capacities, as needed
