Client Services Coordinator

Status: Part-Time (Up to 30 hours/week) FLSA: Non-Exempt Position Summary The Client Services Coordinator serves as the \"face\" of the organization and the person responsible for ensuring every client has exceptional experience from their first phone call through their participation in our programs.It is the first point of contact for women seeking services through Dress for Success Louisville. This position is responsible for creating an exceptional client experience by coordinating appointments, guiding women through available programs, maintaining accurate records, connecting participants with community resources, and supporting workforce development initiatives. This individual plays a vital role in ensuring every client feels welcomed, respected, and supported as they work toward economic independence. Client Experience Serve as the primary point of contact for all clients visiting or contacting Dress for Success Louisville. Welcome clients and create a warm, professional, and supportive environment. Conduct client intake and complete all required documentation. Schedule boutique appointments, workshops, and workforce development services. Explain available services and connect clients to appropriate programs. Maintain confidentiality of all client information. Client Navigation Assist clients in accessing: Styling for Success Employment Styling Next Steps Workforce Development Program Career Coaching Hiring Events Community Resource Referrals Case Coordination Maintain accurate client files within database systems. Track program participation and attendance. Conduct follow-up calls and emails. Document client outcomes and success stories.Assist with grant reporting by maintaining participant data. Administrative Support Answer phones and respond to emails. Schedule appointments and manage calendars. Process incoming referrals. Prepare client packets. Order office supplies. Assist with mail and filing. Support data entry and reporting. Program Support Assist Program Manager with: Workshop preparation Hiring events Teacher Styling events Community outreach events Community Resource Coordination Maintain an up-to-date directory of community partners including: Housing resources Transportation assistance Mental health providers Domestic violence services Education programs Data & Reporting Maintain accurate records including: Client appointments Services received Employment outcomes Volunteer interactions Client follow-up Assist with monthly reports for grants & board reporting. Qualifications Preferred Associate degree in Human Services, Social Work, Nonprofit Management, Business Administration, or related field. Equivalent experience will be considered. Experience 2+ years in customer service, nonprofit, workforce development, human services, or healthcare preferred. Experience working with diverse populations. Experience maintaining confidential records.
