Accounts Payable Coordinator

AP CoordinatorThe AP Coordinator makes sure our vendors are paid accurately and on time. The role runs the full accounts payable cycle, from receiving and matching invoices through payment. It works with Purchasing, Receiving and operations teams across our campus to resolve issues quickly. This is a hands-on role with real room to learn, grow and help improve how our AP process runs.ResponsibilitiesInvoice ProcessingReview, code and enter vendor invoices in Oracle ERPPerform the 3-way match (PO, receipt, invoice) and resolve differences in price, quantity or receivingReview employee expense reports for accuracy and get the right approvals before paymentPaymentsPrepare and process the weekly payment runs, including checks, ACH and wire transfersProcess online bank transfers as requiredIssue stop-payments and voids as neededVendor ManagementSet up and maintain vendor records, including W-9 and federal ID verificationReconcile vendor statements and answer vendor questionsFollow up to make sure credits are received for outstanding memosClose, Controls & AuditSupport month-end close, including AP accruals and reconciling the AP subledger to the general ledgerKeep accurate AP records and documentation in line with internal controlsSupport interim and annual internal and external auditsAssist with year-end 1099 reportingOther duties as assignedSkills & AbilitiesStrong organization and attention to detailProficient in ExcelAble to manage multiple priorities and deadlinesClear communicator who works well across departmentsQualificationsEducationHigh school diploma or equivalent requiredAssociate's or technical degree preferredCertification or coursework in accounting a plusExperience2+ years in accounts payable or a related accounting role preferredOracle ERP experience preferredSOX or internal controls experience a plusWork Environment & Physical RequirementsOffice environment - OnsiteAbility to sit for long periodsVision needed to review and enter data on a computerDisclaimer: This list does not represent all physical demands.
