Position Overview

The Sales Administrator keeps our sales process organized from first customer inquiry through proposal, purchase order, and handoff to Project Management and Operations. You'll be the person who makes sure quotes go out on time, records stay accurate, and nothing falls through the cracks.

This is a full-time, on-site role at our Edina, MN office. The role reports to the VP of Systems and works daily with sales, operations, and leadership.

Key Responsibilities

• Prepare and assemble proposals, quotations, and presentations for the sales team.
• Keep CRM records accurate and current, including opportunities, customer contacts, and pipeline activity.
• Request and confirm pricing, lead times, and product information from manufacturers and vendors.
• Track proposals, purchase orders, deposits, and customer approvals, and follow up so deals keep moving.
• Prepare deposit invoices and confirm payments with accounting.
• Hand off awarded projects to Project Management and Operations with complete, organized documentation.
• Schedule meetings, site visits, customer calls, and internal sales activities.
• Respond to customer and dealer inquiries by phone and email in a professional, timely way.

Qualifications

Required

• 2+ years in an administrative, sales support, or customer service role.
• Clear, professional written and verbal communication, including phone and email.
• Experience with data entry, order processing, or quoting, and tracking work through to completion.
• Strong attention to detail and the ability to juggle multiple deadlines.
• Comfort with Microsoft Office or Google Workspace.
• Willingness to learn technical product details such as display specifications and system components.
• Ability to work on-site in Edina, MN.
• High school diploma or equivalent.

Nice to have

• Experience with Zoho CRM or similar CRM software.
• Familiarity with invoicing, quoting, and e-signing tools such as Quotient, Pandadoc, Docusign, etc.
• Background in distribution, technology, or the audiovisual industry.
• Associate or bachelor's degree in business, communications, or a related field.
