LICENSING COORDINATOR

Job Location: Address: 800 West Washington Street, Phoenix, Arizona 85007 Posting Details: Salary: $21.1500 Hourly Grade: 17 Closing Date: September 25, 2026 Job Summary: The Licensing Coordinator is responsible for performing tasks related to the State of Arizona license application processes. Responsible for assisting prospective/existing customers in the license process, accepting payments, providing information on available licenses and fees charged and the application process. . These employees interact with businesses, customers, other departmental employees and other agencies face-to-face and through both inbound and outbound phone calls. Employees are responsible for providing detail information to the public in response to their needs; accepting payment and fiscal-related source documents, noting essential information and ensuring that information and payments submitted are accurate and complete. Job Duties: Process initial, renewal and amendment license applications within required time frames. Analyze, verify, interpret and track primary source documentation received in support of license applications, permits and registrations to determine validity and completeness of documents and identify deficiencies; and accepts payments, maintains payment logs, assists in audit of payment logs and reports to management as to payment trends. Respond to either verbal or written requests regarding application status, and processes related to Arizona licensure confirming that protocols, procedures and policies are followed for the number of days to approve a license. Evaluate and input applicant information into the Licensing database to ensure all applicable requirements are met and provide data to the Licensing Manager for approval. Report to supervisors including the Licensing Manager and Assistant Director regarding audit and reconciliation of payments; and assist in creating agency forms and procedures to ensure accurate and timely reporting of payments received. Knowledge, Skills & Abilities (KSAs): Knowledge of: Regulatory principles and practices, as well as Federal and state laws and regulations regarding licensing; Interview and information gathering techniques. Skills in: Computer software and systems to include off the shelf standard business solution software and department specific legacy systems (e.g. the Department's Licensing Control System, ELLI, a database which includes imagining); Excellent organizational skills and workload management; Excellent communications skills, (oral and written) that allow communication of complex regulatory issues in a clear, concise and effective manner to licensing staff; Excellent interpersonal skills including conflict resolution; Strong computer skills which include MS Office and database management; Planning, organizing, and prioritizing work; Strong attention to detail; Excellent customer service skills. Ability to: Stay on task and complete assignment by deadline; Establish and maintain working relationships with colleagues, staff and other departments and public at large; Demonstrate tact and diplomacy in representing the Department; Multitask with accuracy; Communicate effectively (both oral and written); Analyze complex problems and issues; Interpret state and federal laws and rules; Work as a member of a team as well as independently. Selective Preference(s): Knowledge of Title 4 and associated Rules and Regulations. Knowledge of DLLC agency vision, mission and the Licensing Sections.
