Job Title

This position is responsible for assisting with the oversight and coordination of various functional units within the Marion County Clerk's Office.

Job Description

Under the direction of leadership, the position supports daily operational activities; provides work direction, training, and guidance to employees; assists in monitoring departmental effectiveness and cash handling procedures; serves as a liaison with courts and partner agencies; responds to internal and external concerns involving Clerk's Office operations; and serves as a backup in the absence of the Director.

Position Responsibilities

The position requires knowledge and application of established policies, procedures, and operational practices that guide most work activities and decision-making. The incumbent exercises independent judgment in prioritizing daily workflow, resolving routine operational issues, and providing guidance to staff within established parameters. Work is performed under the general direction of the Division Director, with the position assuming responsibility for coordinating division operations and completing necessary tasks in the Director's absence.

Responsibilities include:

• Assisting the Division Director in developing and implementing administrative and office management policies, procedures, and operational strategies for the Clerk's Office.
• Recommending operational controls, efficiency measures, and workflow improvements to enhance service delivery and departmental effectiveness.
• Providing work direction, training, guidance, and support to staff to ensure accurate processing and filing of required documents and records.
• Assisting the Division Director in monitoring employee performance and workplace conduct.
• Monitoring inventory of office supplies and materials.
• Reviewing and balancing daily financial transactions, receipts, and payment records.
• Greeting visitors and responding to telephone, email, and in-person inquiries.
• Receiving and processing court-related documents and payments.
• Conferring regularly with the Division Director regarding work processes, staffing needs, operational issues, and priorities.
• Performing all other duties as assigned by leadership.

Qualifications

High school diploma or equivalent required, with previous customer service experience and a minimum of four (4) years of clerical or administrative experience in a court, legal, or similarly regulated professional environment. Demonstrated ability to communicate effectively both orally and in writing, with strong attention to detail and organizational skills. Must possess excellent customer service skills, including the ability to interact professionally and courteously with the public, judicial officers, attorneys, justice partners, and coworkers in a high-volume environment. Ability to work collaboratively, promote teamwork, maintain confidentiality, and build effective working relationships is required. Proficiency in standard office technology and the ability to manage multiple tasks and deadlines is required.

Preferred Job Requirements and Qualifications include:

• Associate degree or completion of post-secondary coursework in business administration, legal studies, criminal justice, public administration, or a related field.
• Previous clerical or administrative experience in a court, legal, government, or similarly regulated environment.
• Experience providing excellent customer service in a fast-paced, high-volume, and high-stress environment.
• Familiarity with court case management systems, court procedures, legal terminology, court documents, filing requirements, and applicable fines, fees, and payment processes.
• Previous supervisory, lead worker, or staff training experience.

Working Conditions

Work is primarily performed in a customer-facing office environment, with the majority of duties performed indoors during standard business operations. Position requires frequent interaction with the public, including individuals who may be experiencing acute stress, frustration, or emotional distress related to court matters and who may at times become agitated, rude, disruptive, or potentially confrontational. The position requires the ability to remain professional, exercise sound judgment, and utilize de-escalation and conflict resolution skills in high-stress situations. Limited travel or work outside the office setting may occur as operational needs require.

Physical Conditions include:

1. Sitting at a desk the majority of the day
2. Some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10) pounds
3. Tasks may involve extended periods of time at keyboard or workstation
4. Tasks require the ability to perceive and hear sounds and see visual cues or signals
5. Tasks require the ability to communicate orally
