Description

Our client, the U.S.'s largest commercial real estate services firm, has an exciting opportunity for an Events Coordinator to support a busy corporate campus in Santa Clara, CA . This contract-to-hire role is ideal for a hospitality-focused professional who enjoys creating exceptional workplace experiences, supporting meetings and events, and providing hands-on customer service in a fast-paced, client-facing environment. This is an onsite position with a schedule that generally follows Monday-Friday business hours, though flexibility is required based on meeting and event schedules.

Job Responsibilities:

  • Coordinate and support the execution of meetings, conferences, and workplace events across the site
  • Prepare meeting rooms by arranging tables, chairs, and event materials according to client requirements
  • Set up and assist with basic audiovisual equipment, flip charts, monitors, and presentation materials as needed
  • Inspect meeting and event spaces to ensure cleanliness, readiness, and proper room configurations
  • Reconfigure furniture and meeting spaces to accommodate changing event requirements
  • Provide on-site event support, including room resets, adjustments, and troubleshooting during meetings
  • Deliver event supplies such as office materials, markers, flip charts, and table coverings
  • Assist with booking requests and scheduling for meeting and event spaces
  • Maintain and restock conference rooms, coffee stations, kitchens, and workplace supply areas
  • Support mailroom and workplace services operations as business needs require
  • Submit maintenance and janitorial requests and coordinate with facilities teams to resolve issues
  • Update daily signage and assist with administrative tasks supporting site operations
  • Partner closely with workplace experience, facilities, and client teams to ensure seamless service delivery
  • Deliver exceptional customer service while serving as a visible, professional representative of the workplace team
Required Qualifications:
  • High school diploma or GED required
  • Up to 2 years of experience in hospitality, events, workplace services, facilities support, customer service, or a related field
  • Experience setting up meeting rooms, conference spaces, or event environments
  • Strong customer service and interpersonal communication skills
  • Ability to work in a fast-paced, highly visible client-facing environment
  • Strong organizational skills and attention to detail
  • Ability to follow established procedures and work both independently and as part of a team
  • Working knowledge of Microsoft Office Suite, including Outlook, Word, and Excel
  • Ability to lift, move, and arrange furniture, supplies, and event materials as needed
Preferred Qualifications:
  • Experience supporting corporate meetings, conferences, or workplace events
  • Hospitality, hotel, catering, or guest services experience
  • Experience working in a client-facing corporate environment
  • Familiarity with conference room technology and basic audiovisual equipment
  • Experience coordinating with facilities, workplace experience, or event services teams
