The Assisted Living Coordinator is responsible for assisting the Clinical Director in all areas necessary to promote optimal care for residents and the efficiency of the Assisted Living Department. This position manages and takes responsibility for the medication room (including pharmacy interaction), coordinates all care services provided to residents by caregivers and medication aides, manages the Electronic MAR system and all payroll functions in cooperation with the Clinical Director. Also is responsible for staff and hiring within the Assisted Living Department. Reports to: Executive Director.
ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES

1. Ensures provision of services to the residents and ensures that the all Federal and State policies governing resident care are closely monitored and carried out.
2. Processing flags on a daily basis in Quick MAR.
3. Implement new orders, change of orders, etc. into system and physically into med room. Fax PCP and pharmacy Monday through Thursday.
4. Monitor staff response times to pendants in real time. Run report for prior day’s response times and notate any responses longer than 15 minutes.
5. Create and assign daily assignment forms.
6. Create and assign daily room check forms.
7. Communicate with residents, families, physicians, outside providers etc as needed.
8. Monitor resident care (showered, ,appearance, clothing etc.).
9. Ensure residents paperwork, charts and medications are ready for new move ins.
10. As time permits, audit medication carts, charts and Quick MAR.
11. Expected to work as a medication technician to cover any gaps in staff schedule.
12. Manages all aspects of QuickMAR, including entering new residents, assuring medications and profiles are accurate and troubleshooting any issues with system.
13. Processes monthly Long Term Care policy paperwork for residents.
14. At the direction of the Executive Director, interview, hire, evaluate, coordinate, motivate, monitor performance, discipline, schedule and supervise department staff in accordance with the company policy. Recruitment and selection should focus on qualified candidates with interest in care and management of individuals with dementia. Make recommendations to the Executive Director, as requested, with respect to monthly staff evaluations, merit pay increases, reprimands, disciplinary actions and terminations.
15. Coordinate departmental schedules and ensure adequate staffing in accordance with company standards, policies, procedures, budgets and state law. This includes daily monitoring of ADP and prompt response to any “punching” issues, making sure appropriate time keeping forms are signed by staff and maintaining current staff schedule in ADP.
16. Conduct or participate in orientation for new members of the department to ensure that all employees are knowledgeable of the goals, policies and procedures for the department.
17. Conduct or schedule necessary training to department staff that ensures competent delivery of medications to residents, emergency procedures, record keeping, residents’ records and acceptable treatments. Audit the monitoring of the completion of state required training.
18. As directed by the Clinical Director, monitor and assist with all personal care services and medication provision provided to community residents. Ensure that all appropriate documentation has been completed, including charting, ADL documentation and medication documentation.
19. Arrange for coverage of job duties within the department(s) during employee rest periods, meal periods and/or absences either through delegation or personal completion of duties. This coverage may be for caregivers, medication aides or Lighthouse caregivers.
20. Ensure alert charting completed per policy.
21. Act as care manager and resource person for the residents and their families. Contact physicians, family and others to obtain specific orders for care and represent the property to professional personnel, residents and the community, as directed by the Clinical Director.
22. Coordinate prescription orders with doctors’ offices and pharmacy delivery of medications, as needed. Supervise central storage and delivery of medications.
23. Assist the Clinical Director with monitoring infection control programs, specifically recognizing patterns of in-house infections and their potential spread as well as compliance of care staff with all safety programs.
24. Supports administration in referral development and maintaining high census.
25. Participate in property surveys (inspections) made by authorized governmental agencies, as directed by the Executive Director.
26. Maintain a safe and secure environment for all staff, residents and guests, following established safety standards. As directed by the Clinical Director, coordinate special provisions for the safety of residents with special needs, i.e., visual deficits, hearing loss.
27. Participate in fire and safety procedures when needed to assure resident/staff safety.
28. Provide the Clinical Director with information relative to the care needs of the residents and the department’s ability to meet those needs.
29. Per State of California regulations, as a “mandated reporter” you must report all known or suspected incidents of resident abuse of dependent adults or elders.
30. Participate in daily “Stand-Up” meetings to communicate key issues within the department, in the absence of the Clinical Director or as requested.
31. Performs day-to-day clerical work connected with the position.
32. Promotes and displays a spirit of teamwork in performance of daily duties through cooperative interactions with co-workers and other departments.
33. Support a positive and professional image through actions and dress.
34. Performs other duties consistent with the position as assigned by the Executive Director.
MINIMUM QUALIFICATIONS
Minimum Age Requirement:
Must be at least 18 years of age.
Education:
High school diploma or equivalent. Certifications as required by the state.
Experience:
Prefer two (2) years’ experience providing residential care to the elderly or similar experience with specialized dementia care programs.
Prefer one year supervisory experience in a health related field.
Mathematical Skills:
Ability to perform calculations in support of personnel actions, budget, and other financial responsibilities.
Reasoning Skills:
Understand and conceptualize concepts as well as demonstrate ability to make decisions in stressful situations.
Oral/Written Communication Skills
Be able to explain ideas and to communicate complex ideas to a wide audience (employees, residents, family members, governmental agencies, public, etc.), both in writing and verbally.
Equipment Used:
Be proficient in basic office equipment (including a personal computer) for the purpose of accomplishing and maintaining a high level of job performance.
Physical Effort:
Must be mobile and able to perform physical requirements of the job. Good physical health verified by a health screening, including a chest x-ray or an intradermal test result not more than 6 months prior or seven (7) days after employment.
Personal Characteristics:
Ability to show sincere compassion towards cognitively impaired older adults. Demonstrates genuine concern for the physical and emotional needs of older people and their families.
Working Conditions:
Well-lighted office with appropriate ventilation and temperature levels.

Employee must pass a criminal record clearance prior to beginning work in the community. Employee must possess current first aid training.
