School Secretary/Bilingual – Open to all qualified applicants for TRANSFER / PROMOTION & INSIDE / OUTSIDE the El Rancho Unified School District. Job Summary Under general supervision, serve as a secretary and receptionist at an elementary school, performing a wide variety of clerical duties and providing support to the principal while the principal is absent. Responsibilities Act as secretary to the school principal, taking and referring messages for the principal and teachers. Schedule appointments and serve as receptionist, providing information to the public over the counter and by telephone. Handle routine correspondence, prepare student attendance and other reports, and maintain student records. Manage requisitions, maintenance requests, report cards, and other school records. Collect money, issue receipts, and deposit funds. Keep time records of employees for payroll. Coordinate exchanges of library and audio‑visual materials among teachers. Type materials from oral directions, rough drafts, copy, or notes, and operate computer terminal. Provide telephone support for parent inquiries about student absences and welfare issues. Schedules the use of school facilities for parent‑teacher groups and outside organizations. Arrange appointments for pupils with the nurse and administer minor first aid. Assist teachers with typing and use of office machines such as mimeograph and ditto, and may supervise a clerical assistant or student help. Qualifications Knowledge of office methods and practices (filing systems, receptionist and telephone techniques), English usage, spelling, grammar, and punctuation, and standard office machines. Ability to perform clerical work with accuracy and speed; learn and apply rules, laws, and policies with good judgment; make arithmetical calculations quickly and accurately; compile and maintain accurate and complete records and reports; understand and carry out oral and written directions; meet the public tactfully and courteously; type from clear copy at 50 words per minute; if required, take shorthand at 80 words per minute and transcribe accurately; read, write, and speak Spanish fluently. Experience – One year of responsible clerical experience, preferably involving frequent contact with the public. Education – Equivalent to completion of the twelfth grade.
