Description Title: Admin & Fiscal Support Specialist Position Number: 0097614T Hiring Unit: College of Engineering, Mechanical Engineering Department, UH Manoa Location: UH at Manoa Employment Type: Full‑time Temporary (11‑month) Opening Date: 05/13/2026 Closing Date: 05/20/2026 Band: A Responsibilities Provides administrative support services and project management for the Hawaii Corrosion Laboratory research endeavors, including budget, procurement, travel, and personnel management. Assists in the preparation of budget modifications and reports. Prepares documents for purchasing, reimbursements, travel, and other fiscal requirements of the project; compiles specifications for equipment and supplies; tracks expenditures. Prepares detailed fiscal and personnel reports for internal and external inquiries; ensures reports are accurate and in compliance with all applicable policies and procedures. Keeps abreast of UH, RCUH, State, Federal, and third‑party rules, regulations, practices, and policies and procedures that are applicable to the project. Arranges logistics and participant travel for meetings, conferences, and other project‑related activities. Keeps project personnel informed of deadlines and activities; assists in requesting extramural funding to support the project, including renewal of funding. Analyzes and compiles project data as needed. Other duties as assigned. Minimum Qualifications Education and Professional Work Experience: Possession of a baccalaureate degree in Business Administration, Accounting, Finance, or related field and at least one year of progressively responsible professional experience with responsibilities for business administration, fiscal or human resource administrative support, or project management; or an equivalent combination of education and/or professional work experience that provides the required knowledge, skills and abilities. Knowledge, Skills and Abilities Functional knowledge of principles, practices and techniques in the area of business administration, fiscal or human resource administrative support, or project management. Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with business administration, fiscal or human resource administrative support, or project management. Demonstrated ability to recognize problems, identify possible causes and resolve the full range of problems that may commonly occur in the area of business administration and/or office management. Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members, and individuals. Demonstrated ability to operate a personal computer and apply various software applications, including word processing, spreadsheets, and presentations. Supplemental Minimum Qualifications Strong organizational and communication skills. Experience in preparing project reports. Desirable Qualifications Experience providing administrative support in a research environment, reporting to federal extramural funding agencies. Knowledge of the research management process and support requirements. Knowledge and experience with Federal, State, UH, and RCUH fiscal and human resources policies and procedures. Experience in writing grant proposals.
