Under general supervision of the Business Manager, Surgical Services, you manage the personnel responsible for all product inventory, supply distribution systems and processes in the Operating Room. You lead, facilitate, and/or participate in Supply Chain process redesign and operational improvement projects in the Operating Room. You are responsible for a $4.8 million inventory. You have authority over and manage the procurement of supplies and equipment for perioperative services and oversee the associated products and inventory. You maintain direct communication and coordination with OR Leadership, OR Staff, Central Processing & Distribution and Lahey Distributors. You facilitate or oversee distribution initiatives, including Pyxis, PBDS packs, reprocessing, trials, and various savings opportunities. You utilize lean inventory, Six Sigma, and value analysis tools, and you use custom analytics to optimize OR inventory and forecast supply usage via systems such as Epic, PeopleSoft, and Pyxis. Job Description Essential Duties & Responsibilities Manage the personnel responsible for all product inventory, supply distribution systems and processes in the Operating Room, providing regular oversight and guidance to the OR Supply Chain Coordinator and Inventory Control Assistant, and oversee their job performance and evaluations. Lead, facilitate, and/or participate in process redesign and operational improvement projects in the Operating Room. Perform data analyses and design ad‑hoc reports pulling from multiple systems to improve efficiency and identify savings opportunities. Manage a $4.8 million inventory, working with the Supply Chain Coordinator(s) on par‑level establishment and maintenance, refill processes, utilization analysis, and product management. Collaborate with Purchasing Agents on product failures, vendor returns, and expired items, and with receiving to ensure a smooth interface that meets clinical needs. Collaborate with managers, super users, clinical and non‑clinical staff to develop a cooperative, service‑oriented, cost‑effective, operationally efficient inventory‑management approach. Create appropriate par levels for all supplies in the Operating Room and provide detailed monthly reports on overage; modify min/max inventory levels as authorized. Implement procedures to reduce or eliminate stock‑outs, evaluating causes and frequencies, ensuring accurate and timely replenishment, coordinating policy development and monitoring, and troubleshooting supply problems with end users. Optimize inventory for non‑Pyxis products, including consignment, and identify savings opportunities using analytical tools. Manage monthly inventory reporting, track cycle counts, and maintain inventory cost records. Review inventory cost against the budget and determine reasons for variances. Audit daily case equipment and supply utilization sheets to ensure billing accuracy and comply with procedures. Act as the contact person for the Finance Department to assure compliance with billing procedures. Manage the rotation of stock and checking of dates to prevent expired products; remove expired products promptly and coordinate with vendors for product swaps or credit. Coordinate disposal of property, supplies, and material in compliance with hospital, state, and federal regulations, tracking defective products and assisting Purchasing with vendor replacement. Work closely with Purchasing, Finance, and Clinical Departments on the development, enhancement, and implementation of materials‑process improvements and software modifications, applying lean, Six Sigma, and value analysis. Expedite overdue supply orders and backorders by coordinating daily with Purchasing. Communicate inventory optimization, routine orders, backorders, and substitute supplies to nursing staff, specialty departments, and other customers. Research recalled products with Purchasing and communicate findings to end users, OR Management, Risk Management, and Purchasing. Ensure ordering and availability of loaner equipment, creating bill‑only purchase requisitions for payment. Oversee equipment repairs as required and ensure loaners are available for equipment awaiting repair. Review the daily procedure schedule in advance to forecast non‑stocked products as requested. Collaborate with surgeons and nursing colleagues on new product introductions or product changes. Manage fiscal year‑end physical inventory counts and associated logistics. Maintain the tissue tracking system in compliance with FDA regulations, including storage, temperature monitoring, receipt, and expiration dates. Serve as liaison for Nursing and MMIS for materials management, Epic, PeopleSoft, and Pyxis needs. Organizational Requirements Maintain strict adherence to the LHMC confidentiality policy. Incorporate behavioral standards, mission statement, and goals into daily activities. Maintain courteous and effective interactions with colleagues and patients. Demonstrate understanding of the job description, performance expectations, and competency assessment. Comply with all LHMC policies. Commit to meeting and exceeding customer needs and consistently adhere to customer‑service standards. Participate in departmental and interdepartmental quality‑improvement activities. $85,000.00 USD – $105,000.00 USD
The pay range listed for this position is the annual base salary range the organization reasonably and in good faith expects to pay for this position at this time. Actual compensation is determined based on several factors, including seniority, education, training, relevant experience, certifications, geography of work location, job responsibilities, or other applicable factors permissible by law.
