Construction Labor Dispatch Coordinator Location: Santa Clarita, California Schedule: Full-time; Sunday–Friday dispatch coverage Work Setting: Office-based with regular field coordination Reports To: Director of Operations Position Summary The Construction Labor Dispatch Coordinator is responsible for the accurate, timely daily placement of general labor, cleaning, carpentry, and prevailing-wage personnel across a high volume of active construction jobsites. This individual will manage the full dispatch cycle—from receiving client labor requests through employee outreach, assignment confirmations, replacements, schedule changes, and final daily staffing records. The role requires exceptional organization, urgency, communication skills, and sound judgment in a fast-paced construction staffing environment. A key priority for this position is helping modernize dispatch operations by transitioning spreadsheet-, phone-, and text-based processes into a centralized digital workflow. The successful candidate will have experience using AI-enabled tools, scheduling software, dispatch platforms, workforce-management systems, or automation to improve visibility, response tracking, record accuracy, payroll readiness, and overall operating efficiency. Key Responsibilities Manage daily labor dispatch activities for multiple construction clients and jobsites, including Sunday–Friday planning and coordination for next-day and same-day staffing needs. Receive, prioritize, and fulfill labor requests based on urgency, client needs, jobsite requirements, workforce availability, safety considerations, and compliance requirements. Communicate with clients, project managers, superintendents, foremen, field personnel, and employees regarding staffing requests, changes, call-outs, late arrivals, transfers, reductions, and emergency coverage. Match employees to assignments based on location, availability, experience, trade classification, skills, client preferences, project requirements, and prevailing-wage eligibility. Provide employees with complete assignment details, including project address, job number, start time, onsite contact, scope of work, classification, PPE or tool requirements, parking/access instructions, and other jobsite-specific information. Track and document all employee responses, including acceptance, declination, no response, cancellation, reassignment, removal, call-out, late arrival, and replacement status. Maintain accurate, real-time records of employee availability, assignments, work history, and coverage gaps. Ensure open labor requests are fully resolved and properly documented before the beginning of each shift. Escalate safety, employee-relations, payroll, invoicing, client-service, or operational issues to the appropriate manager. Maintain professional, responsive communication during high-volume and time-sensitive situations. Digital Dispatch & Process Improvement Help transition daily dispatch operations from manual spreadsheets, phone calls, and individual text messages into a centralized online workflow. Use digital scheduling, workforce-management, field-service, staffing, messaging, automation, or AI-enabled tools to improve dispatch efficiency and visibility. Create consistent digital records for labor requests, employee outreach, confirmations, schedule changes, job assignments, exceptions, and finalized daily rosters. Use automation and AI responsibly to reduce repetitive administrative work, identify incomplete request details, flag scheduling conflicts, draft routine communications, and improve coverage decisions while maintaining human oversight. Partner with operations, payroll, accounting, and technology vendors to ensure dispatch information can be accurately transferred into payroll, timekeeping, invoicing, and reporting processes. Develop and maintain dashboards, reports, and audit trails related to staffing activity, open requests, employee response rates, call-outs, replacements, assignment exceptions, and payroll readiness. Document dispatch procedures, troubleshoot workflow issues, protect confidential information, and recommend ongoing process improvements. Required Qualifications At least two years of experience in dispatch, workforce scheduling, staffing operations, field coordination, logistics, or a related operational role. Construction, skilled-trades, field-service, temporary labor, or jobsite staffing experience strongly preferred. Demonstrated experience using a digital scheduling, dispatch, workforce-management, staffing, field-service, automation, or AI-enabled platform. Ability to describe measurable process improvements achieved through technology, such as faster assignment confirmations, reduced missed coverage, improved recordkeeping, greater visibility, or streamlined payroll processing. Strong Excel and Microsoft 365 skills, with the ability to quickly learn and administer new software platforms. Excellent phone, text, email, and in-person communication skills. Ability to remain calm, professional, organized, and solution-oriented while managing urgent or high-volume staffing needs. Strong attention to detail, follow-through, prioritization skills, and sound judgment. Ability to handle confidential employee, client, payroll, and company information with discretion. High school diploma or GED. Valid driver’s license. Preferred Qualifications Experience dispatching hourly construction labor across multiple active clients and jobsites. Knowledge of prevailing-wage classifications, certified payroll requirements, union labor, or public-works project staffing. Experience connecting dispatch, scheduling, or workforce data with payroll, timekeeping, accounting, or invoicing platforms through integrations, imports, or no-code automation. Bilingual English/Spanish communication skills. Experience creating standard operating procedures, training materials, dashboards, reporting tools, or technology-adoption plans. Familiarity with construction labor classifications, jobsite safety expectations, and trade-specific staffing requirements. Schedule & Work Requirements This role supports a construction workforce with staffing needs that may change before or after traditional office hours. The selected candidate must be available to provide dependable Sunday–Friday dispatch coverage and respond promptly to urgent client requests, call-outs, late arrivals, schedule changes, and replacement needs. The role is primarily office-based but may require occasional travel to active construction jobsites. The employee must be able to sit, stand, walk, communicate by phone and electronically, and use a computer and mobile device for extended periods. Occasional lifting or moving of materials up to 50 pounds may be required. Compensation & Benefits A competitive compensation and benefits package is offered to eligible employees.
