Total Potential: Up to $33.00/hr via stacking differentials

Lifestyle Balance: Enjoy 4 days off in a row, every week on our primary block schedules. High-intensity crisis work balanced by a consistent rest period. No rotating shifts, no on-call, no surprises. Per Diem options are also available.

Base Pay: $25.00 - $27.00/hr

Pay Differentials:

  • Night Shift: +$2.00/hr
  • Weekend (Thu-Sat): +$2.00/hr
  • Bilingual (Spanish/English): $2.00/hr

Job Types: Full-Time (paid at 36 hours per week), Part-time, and Per Diem

  • Shift 1 (Weekday Day): Monday Wednesday | 7:00 AM 7:30 PM
  • Shift 2 (Weekday Night): Monday Wednesday | 7:00 PM 7:30 AM
  • Shift 3 (Weekend Day): Thursday Saturday | 7:00 AM 7:30 PM
  • Shift 4 (Weekend Night): Thursday Saturday | 7:00 PM 7:30 AM
  • Shift 5 (Sunday Day Part-Time): Sundays | 7:00 AM 7:30 PM
  • Shift 6 (Sunday Night Part-Time): Sundays | 7:00 PM 7:00 AM
  • Additional Scheduling Opportunities: Per diem shifts and extra shift opportunities for part-time team members are also available.

We do this through mobile and field-based models, providing medical care, behavioral health services, substance use treatment, harm reduction, and care coordination in nontraditional settings such as encampments, schools, reentry sites, and rural communities as well as with sovereign tribal nations. Grounded in trauma-informed, culturally responsive, and data-driven practices, WEA combines clinical expertise, lived experience, and advanced population health analytics to reduce barriers to care, improve continuity, and strengthen local systems. Indio Crisis Walk-In Center

WEA's Crisis Walk-In (CWI) Center, located on the behavioral health campus of Riverside University Health System in Indio, CA, offers 24/7 walk-in, voluntary crisis services for adults and children ages 5 and older. Designed to provide immediate, accessible care, the center serves up to 20 patients at a time, including both youth and adults in a peer-to-peer, recovery-oriented environment.

Position Summary

The Admissions Coordinator is a vital member of the team, serving as the very first face our patients see when they enter the facility. You will set the tone for a welcoming, safe, and efficient admission process. In this role, you bridge the gap between community entry and clinical care. You will work alongside a multidisciplinary team and closely with Peer Support Specialists ensuring that every individual is met with dignity and trauma-informed care. Your primary tools are your administrative expertise, your calm demeanor, and your ability to rapidly process critical Medi-Cal and compliance documentation, ensuring the center captures essential revenue while maintaining a safe lobby environment.

Work Location & Expectations: This role requires daily in-person engagement at the Indio Crisis Walk-in Center location.

Key Responsibilities

1. First Impressions & Intake Management

  • The First Voice: Serve as the initial point of contact for walk-ins, law enforcement, and emergency responders, modeling a calm and welcoming presence.
  • Demographics & Documentation: Efficiently complete initial patient demographics, sign-in sheets, and basic administrative intake paperwork to expedite the triage process.
  • Environmental Awareness: Monitor the "Front Door" energy and communicate seamlessly with Peer Support Specialists to engage with participants who appear overwhelmed or anxious.
  • Revenue Capture: Actively check and confirm insurance eligibility prior to admission to ensure proper billing and revenue workflows.

2. Compliance & Privacy Documentation

  • HIPAA & Privacy: Issue the Notice of Privacy Practices (NPP) brochure and securely obtain signed acknowledgments from patients or guardians during their first visit.
  • Regulatory Adherence: Ensure all admission paperwork is completed accurately to support revenue capture and CalAIM compliance.
  • Record Management: Maintain meticulous, timely, and secure administrative records in the designated electronic health record (EHR) systems.

3. Care Coordination

  • Milieu Liaison: Maintain excellent remote communication (via phone/intercom) with the Triage RN and Unit Director to ensure smooth throughput from the lobby to the floor.
  • Safety Support: Assist peers in managing belongings logs and maintaining a secure, controlled lobby environment.

4. Administrative & Operational Support

  • Office Operations Support: Assist with day-to-day administrative and office management functions to support smooth program operations and maintain an organized, professional environment.
  • Supplies & Coordination: Support monitoring and coordination of office, intake, and operational supplies; communicate needs to leadership as appropriate.
  • Scheduling & Communication: Assist with administrative coordination activities such as answering phones, routing messages, supporting scheduling workflows, and facilitating communication across teams as needed.
  • Programmatic Support: Provide general administrative support to clinical, operational, and leadership staff to help maintain efficient facility operations and patient flow.

Documentation & Organization: Support organization of program documents, forms, logs, and administrative records in accordance with organizational and compliance standards.

Requirements

Qualifications & Requirements

1. The Core Requirement: Medical Administrative Experience

  • 1-3 years of experience in medical front office administration, patient registration, or healthcare billing.
  • You are comfortable and skilled at executing fast-paced administrative tasks, verifying insurance, and delivering compassionate patient service.

2. Certification & Education

  • High School Diploma or GED equivalent or higher is required.
  • Must be able to complete HIPAA, Corporate Compliance, and TVPA training upon hire to ensure a recovery-oriented approach across all job classifications.

3. Essential Skills

  • Strong understanding of insurance verification, specifically Medi-Cal eligibility, Medi-Cal share of cost, and UMDAP processes.
  • Ability to remain grounded, empathetic, and professional behind security glass in a fast-paced, high-intensity environment.
  • Proficient with electronic medical records, data entry, and standard office software.

4. Preferred Skills

  • Bilingual (Spanish): The ability to fluently and effectively communicate in Spanish with patients and families qualifies for a stackable pay differential.
  • Patient Access Experience: Prior experience in a hospital ER registration desk, urgent care front office, or behavioral health admissions department.
  • Basic Emergency Safety Competency: BLS, CPR, CPI certificates a plus
