Probate Paralegal

The Law Office of William J. Solano, P.A. is hiring an experienced Probate Paralegal to manage a high-volume docket of estate matters from our Fort Lauderdale office.

We represent clients in the probate sector across South Florida, with cases in the Miami-Dade (11th Judicial Circuit), Broward (17th Judicial Circuit), and Palm Beach (15th Judicial Circuit) courts. Our matters include summary administrations, formal administrations, and homestead determinations.

The right candidate keeps every case moving: filings submitted correctly, notices served on time, checklists current, and estates followed up until closed.

• Position: Probate Paralegal
• Location: 1027 S 21 Ave Hollywood Fl 33020 (in office, with local driving)
• Type: Full-time (40 hours) 25$-30$ depending on experience.

Probate case management

• Prepare and organize filings for summary administration and formal administration matters, including petitions, oaths, designations of resident agent, proposed orders, inventories, and closing documents.
• Assist with formal administration tasks such as Letters of Administration, notice to creditors, publication, and creditor claim tracking.
• Maintain a checklist for every case and follow it through each stage, from opening the file to discharge.
• Follow up with courts, clerks, personal representatives, heirs, and beneficiaries to keep each estate moving.
• Keep all cases current and updated in the firm's case management system, including deadlines, hearing dates, and next steps.

Court filing

• E-file pleadings and documents through the Florida Courts E-Filing Portal in Miami-Dade, Broward, and Palm Beach County courts.
• Monitor dockets, clerk deficiency notices, and judicial requests, and correct filings promptly.
• Track orders entered and calendar resulting deadlines.

Notice and service

• Prepare and serve notices to interested parties, heirs, beneficiaries, and creditors as required by the Florida Probate Code and Rules.
• Prepare certificates and proofs of service for filing.
• Drive to the post office to send certified and regular mail, and track return receipts and green cards.

General support

• Communicate professionally with clients and family members, often during difficult times.
• Gather death certificates, wills, deeds, and asset records needed to open and close estates.
• Support the attorney with other probate-related tasks as needed.

• Paralegal experience in Florida probate, including summary administration and at least some formal administration.
• Working knowledge of the probate divisions in the Miami-Dade, Broward, and Palm Beach County circuit courts.
• Hands-on experience e-filing through the Florida Courts E-Filing Portal, including probate filings and responding to clerk corrections.
• Experience preparing and serving notices to interested parties and documenting service.
• Strong organization and follow-through: able to manage many open estates at once using case checklists.
• A reliable personal vehicle, a valid Florida driver's license, and current auto insurance for post office runs and occasional courthouse or client errands.
• Clear written and verbal communication in English.
• Proficiency with Microsoft Word, Outlook, and PDF tools.
• Ability to multitask and work on multiple projects at once

• 2+ years of Florida probate paralegal experience.
• Familiarity with homestead determinations and real property issues in estates.
• Paralegal certificate, or FRP / NALA certification.
• Bilingual English/Spanish/Creole

• Schedule: In person Monday–Friday, 8:30-5:00 p.m.
• Compensation: $25-$30 an hour based on experience, paid federal holidays and contribution towards health insurance
