The Role We're looking for an experienced Escrow Officer who can run a high-performing desk autonomously — from opening to close — while delivering a white-glove client experience for buyers, sellers, agents, lenders, and title partners. You’ll have full ownership of your pipeline: requirements, timelines, communication, documentation, compliance, funding, recording, disbursement, and final balancing. You’ll be supported by a collaborative team, but your files move because you move them. What You’ll Do Transaction Management (Start to Finish) Manage multiple California residential escrow transactions simultaneously from opening through close. Determine escrow requirements; review and execute buyer/seller/lender instructions and conditions. Coordinate with title and lending partners to clear title and satisfy payoffs, HOA items, insurance, and lender conditions. Assemble, prepare, review, and route closing packages; obtain signatures and ensure accuracy and completeness. Prepare and confirm closing statements and settlement figures per lender instructions and timelines. Manage funding, recording, document filing, and final disbursement with strict attention to detail. Balance escrow files and close escrow accounts by reconciling and disbursing funds properly. Calculate and validate prorations (taxes, interest, rents, HOA, etc.) accurately. Maintain complete file documentation and accurate records for deposits and receipts. Client Experience + Communication Provide proactive, consistent status updates to agents, clients, and partners. Set expectations early and reinforce next steps clearly throughout the transaction. Maintain fast, professional response times and a steady sense of urgency. Explain escrow steps in plain English — especially when things get emotional or complex. Stay calm and solutions-focused when timelines, documents, or parties fall off track. Trust Accounting + Compliance Protect and control escrow trust funds with accuracy and care. Follow all regulatory and compliance requirements, company policies, and best practices. Who You Are You’re a seasoned Escrow Officer who takes pride in a clean desk and a closed file. You anticipate problems before they escalation, communicate before anyone has to ask, and bring calm precision to a high-stakes process. Proactive: You spot issues early and solve them before they become emergencies. Required Qualifications 3+ years of Escrow Officer experience in California managing files independently. Advanced proficiency with RBJ escrow software. Proficiency in Qualia required. Strong working knowledge of C.A.R. forms, DocuSign, email/calendar workflows, and document management. Ability to maintain all required licensing/registration and professional standing (no unresolved regulatory issues). Ability to maintain EAFC membership at all times. Experience working with high-expectation agents and clients (luxury and/or high-volume environments). Comfort with complex files: HOAs, trusts, probate, contingencies, and multi-party signatures.
