Responsibilities Greet visitors and patients warmly, ensuring a positive first impression Manage multi-line phone systems, directing calls appropriately and taking detailed messages Schedule appointments and manage calendars using Google Workspace or Microsoft Office tools Perform data entry, filing, and maintain accurate records using computer literacy skills Handle correspondence via email and phone with professionalism and courtesy Assist with office management tasks such as proofreading documents, organizing files, and supporting clerical duties Support bookkeeping activities using QuickBooks or similar software when needed Provide customer support by addressing inquiries promptly and efficiently Maintain a clean and organized reception area to ensure a welcoming environment Coordinate with other departments to facilitate smooth office operations Experience Prior office management or administrative experience preferred, including clerical work and customer service roles Experience with front desk operations, multi-line phone systems, and office software such as Microsoft Office and Google Workspace Bilingual skills are a plus to assist diverse client needs Familiarity with medical or dental receptionist duties, including calendar management and personal assistant responsibilities, is preferred Strong organizational skills, time management, typing proficiency, and attention to detail are essential for success in this role Independent ability to multi-task efficiently while maintaining professionalism and excellent phone etiquette
