Business Unit 23800 Position Judicial Specialist 2 (Reference: #00051858-23800) – Full‑Time, Permanent Location Raton, New Mexico Number of Positions 1 Office Administrative Office of the Courts Opening Date 05-04-2026 Close Date -- Target Pay Range / Rate GG $19.577‑$22.024 hourly or $40,720‑$45,809.92 annually General Statement of Duties Acting under general supervision, prepare and process court documents, perform judicial procedures and work with the court case‑management system. Job Duties Use the case‑management system to open, docket, and close cases based on judgment details. Provide customer service information to a high volume of pro se litigants. Open cases – determine case type, assess filing fees; docket cases – review documents, determine event codes, enter data, scan documents, link scanned images; close cases – enter closing events, disposition type, and judgment details. Assess, record, and reconcile monies; prepare bank deposits; follow cash handling procedures. Process, maintain, and distribute documents, files, and case materials. Use electronic filing to review incoming filings for format, signatures, event code, and filing fees. Process and expedite orders of protection. Disburse bond payments; prepare and maintain bond reports. Reconcile billing and invoices from contracted vendors for Specialty Court Programs. Proofread, edit and mail out documents such as notices and final orders. Execute case hearings, including orders to show cause, bench warrants, recusals, excusals, pleadings, and rule extensions. Maintain the cash till and ensure court fees are accurately assessed, paid, receipted, and recorded. Provide public case information to parties, attorneys, law enforcement agencies, and other outside agencies. Order, review, sort, and organize jury summons. Prepare alpha lists, random lists, voir‑dire sheets, and seating charts for jury trials. Organize case files for microfilming, archiving, and destruction. Prepare exhibits and hard‑copy case files. Research automated, hard‑copy, and microfiche files for case status data. Certify and prepare court records, tapes, logs, and exhibits for cases on appeal. Ensure the office, courtrooms, and equipment are operational. Maintain judicial calendars and schedules. Serve as a court monitor. Perform clerical and technical duties involved in case processing, file maintenance, jury management, and the conduct of the clerical business of the court. Manage jury trial calendar requests for judges to schedule upcoming jury trials. Advise internal staff on jury procedures, reporting jurors, and updates on specific trials. May serve as a courtroom clerk, produce instant J&S’s, and obtain signatures from parties, counsel, assigned judge, file, and distribute. Provide support to other magistrate or district courts within the judicial district. Instruct prospective jurors on completing online information or provide appropriate forms. Handle phone calls, incoming and outgoing correspondence, and maintain office supplies. Coordinate program participation with Specialty Programs within the Court. Accept, maintain, and file court exhibits including hazardous items. Gather, deliver, and file recordings, receipts for log and exhibits to provide accurate record‑keeping procedures. Troubleshoot recording equipment, run updates, and maintain technical logs. Ensure retention of case material and marks for identification logs, files, and safeguard evidence as public, sequestered or sealed exhibits. Act as a liaison between court personnel, litigants, or attorneys to advance court proceedings. Perform other duties as assigned; due to budgetary constraints the salary will not exceed the target pay range of $19.577‑$22.024. Finalists will be subject to criminal background checks. Qualifications Competencies: Knowledge of legal terminology and phrases; basic knowledge of jury service; filing methods; case processing; Specialty Court Programs; research methodology; project management techniques; court fee accounting practices; court monitoring procedures; Court Clerk’s Procedures Manual; Code of Ethics; court and state Language Access Policies; access to the Certified Language International Interpreting Line; general organizational structure of the judiciary. Minimum Qualifications: Education – High school diploma or GED. Experience – Two years in court case processing, legal secretarial or related field such as advanced customer service, data processing, or banking/financial experience. Additional post‑secondary education may substitute for up to one year of experience. Thirty semester hours equals one year of experience. Typing Certification – Certification from the New Mexico Department of Workforce Solutions or equivalent may be required, with a minimum proficiency of 35 net words per minute. New Mexico Workforce Connection Certification must be issued within five years.
