Job Summary
The Volunteer Coordinator leads a vibrant volunteer program into its next phase of success serving Westchester Community College (“the College”) students and the community. The Volunteer Office on campus serves as the nexus for volunteer programs run directly by the Office. The Office serves as a referral hub facilitating volunteer connections to several programs on campus that actively welcomes volunteers as essential components of their efforts. Through its various functions, the Volunteer Office is a vital service and community outreach resource for the College. Funded through the Westchester Community College Foundation, the Volunteer Coordinator is responsible for coordinating volunteer engagement throughout the college. The Volunteer Coordinator is responsible for managing volunteer opportunities and contributing to the advancement of the Westchester Community College Foundation's and the College's missions through the continuous review, development, and implementation of volunteer programs and initiatives.
RESPONSIBILITIES :
- Responsible for recruiting new volunteers, this includes conducting interviews, references checks, onboarding trainings and matching volunteers with volunteer opportunities at the College.
- Responsible for entering and maintains volunteer records in the Volunteer database (Raiser’s Edge NXT) and compiling data for reporting.
- Responds to volunteer inquiries and applications, communicates regularly with active volunteers, and manage volunteer/student matches.
- Serves as liaison to both external and internal contacts, the corporate and non-profit sector, and the Westchester Community College Foundation Board. Serve as a “face of the college” to the local community, making periodic presentations with external organizations interested in promoting Westchester Community College’s volunteer opportunities.
- Works closely with the Foundation’s Development Team to ensure volunteers are included in development efforts.
- Prepares volunteer activity reports and maintains volunteer data, including service hours and program outcomes. Develops, updates, and manages Volunteer Office publications and materials, including brochures, training materials, application forms, and handbook content.
- Schedules and coordinates space, logistics, and set-up needs for volunteer meetings, training sessions, and programs.
- Provides referral and support services to volunteers with the students they are assisting on the topics of Academic Support, Personal Counseling, Academic Counseling, Financial Aid, and International Student Advising.
- Organize and manage the College's corporate volunteer mentoring program, cultivating partnerships with business and community leaders to engage employees as mentors. Oversee volunteer recruitment, training, matching, communications, and program logistics.
- Coordinates the Conversation Partners Program in partnership with the English Language Institute (ELI), matching community volunteers with ELI students for weekly conversational English practice.
- In partnership with the Scholarship Office coordinates the Connections Mentoring for Wallach Scholars, including planning and hosting the annual Connections Mentoring Mixer.
- Coordinates volunteer placements supporting instructional and student success programs across the College, including GED tutoring through Workforce Development & Community Education, Career Services, Transfer Services, academic departments, and the Center for Finance & Economic Education.
- Plans, organizes and executes the Annual Volunteer Luncheon and Conversation Partners Luncheon, in partnership with relevant staff at the college.
- Prepares the annual Volunteer Services budget, monitors program expenses throughout the year, and orders volunteer recognition gifts and materials.
- Coordinates event and program logistics with Facilities, Dining Services, Media Services, and Security.
- Supports departments requesting volunteers for programs, events, tutoring, mentoring, and special projects, and develops new volunteer opportunities based on identified departmental needs.
- Performs other duties as assigned.
REQUIRED QUALIFICATIONS:
- Bachelor’s degree in psychology, counseling, student affairs, or related field from an accredited institution.
- Three years of increasing responsibility in program management in higher education or with a non-profit organization in a related field.
- Good knowledge of interviewing techniques, methods of placement and training.
- Knowledge of the internal organization of the college or similar non-profit organization.
- Familiarity with community civic agencies and volunteer activities.
- Familiarity with administrative planning and supervisory techniques.
- Ability to work with and supervise others.
- Must be comfortable making oral presentations.
- Must possess strong writing ability and outstanding customer service skills.
- Must be able to multi-task and manage a busy office with volunteers coming and going constantly.
- Ability to effectively use computer applications such as Microsoft 365, spreadsheets, word processing, calendar, email and Raiser’s Edge or similar database software.
- Demonstrate initiative, tact, and resourcefulness.
- Physical condition commensurate with the demands of the position.
PREFERRED QUALIFICATIONS:
- Experience working with corporate networks/volunteer partners a plus.
- Ability to track, analyze, and communicate data to inform and influence decisions a plus.
- Ability to make recommendations to support new opportunities and initiatives a plus.
- Master’s degree a plus.
Salary Range: The salary range is $74,384 to $92,149 and is commensurate with experience.
