POSITION: Assistant Community Manager – Villagebrook

REPORTS TO: Community Manager

DIRECT REPORTS: None (may assist with directing site staff in Community Manager’s absence) 

POSITION SUMMARY The Assistant Community Manager plays a critical operational and compliance leadership role, supporting the Community Manager in the administrative, financial, and physical management of the property. Serving as an intentional career pathway toward property leadership, this position holds primary accountability for recertification management and regulatory compliance while actively assisting with daily office operations, rent collection, leasing, and resident relations. The Assistant Community Manager ensures the property operates efficiently, meets all contractual and affordable housing guidelines, and upholds high standards of customer service and mission-driven housing stability. 

KEY RESPONSIBILITIES

Compliance and Recertification [40%]

• Own the resident recertification caseload, ensuring all annual and interim recertifications, gross rent changes, and unit transfers are completed accurately and within mandatory timeframes. 
• Conduct applicant and participant interviews, gather third-party verifications, complete calculations, and prepare thorough, audit-ready compliance packages. 
• Maintain compliance across all financing layers, including Section 42 (LIHTC), HUD, HOME, PBRA, Bonds, FHLB, and Section 811. 
• Maintain electronic and physical resident files in strict adherence to data security, Fair Housing, ADA, and auditing standards. 
• Coordinate directly with state housing finance agencies, compliance auditors, and third-party monitoring groups. 

Site Administration [30%]

• Support the Community Manager with daily administrative workflows, serving as the acting manager in their absence.
• Assist with rent collections, daily bank deposits, ledger adjustments, and delinquent account follow-ups in accordance with local tenant laws. 
• Draft and distribute general notices, lease violation notices, and legal documentation utilizing eviction-prevention and de-escalation strategies. 
• Assist the Community Manager with accounts payable, invoice processing, and variance tracking. 
• Maintain office organization, logs, reports, and administrative supply inventories. 

Resident Relations [15%]

• Serve as an escalation point for resident disputes, lease violations, and complex inquiries routed from the front desk.
• Educate residents on lease terms, program obligations, and recertification deadlines. 
• Partner collaboratively with on-site service providers to process reasonable accommodations and support resident retention. 

Leasing and Maintenance [15%]

• Process housing applications, maintain the property waitlist, verify eligibility, and execute initial lease signings. 
• Monitor the Yardi service request dashboard to track ticket aging, conduct QA on completed tickets, and manage the administrative workflow for unit turns alongside the maintenance team.
• Assist with move-in/move-out inspections, annual unit inspections, and monitoring unit turnover readiness. 

REQUIRED SKILLS AND ABILITIES

• Deep knowledge of affordable housing policies, HUD guidelines, and LIHTC compliance procedures. 

• Proficiency in Yardi Voyager (or equivalent property management software) and Microsoft Office Suite (Word, Excel, Outlook). 
• Strong organizational, mathematical, and analytical skills with rigorous attention to detail. 
• Excellent written, verbal, and interpersonal communication skills, with proven de-escalation ability. 
• Ability to handle multiple priorities independently in a fast-paced environment. 

MINIMUM QUALIFICATIONS

• High school diploma or equivalent. 
• 2+ years of affordable housing property management experience, with direct experience processing recertifications. 
• Valid driver’s license, auto insurance, and reliable transportation. 

PREFERRED QUALIFICATIONS

• Tax Credit Certification (e.g., TCS, COS, HCCP, or BOS) or required within 120 days of hire. 
• Prior experience with Permanent Supportive Housing (PSH) and vulnerable populations. 
• Associate or Bachelor’s degree in Business, Real Estate, or related field. 

PHYSICAL DEMANDS

• Occasionally requires moving materials weighing up to 20 lbs. 
• Unit and property inspections require walking, stair climbing, and general facility navigation. 

LOCATION AND TRAVEL

• Based on-site at Villagebrook (278 E. Saint Charles Road, Carol Stream, IL 60188)
• Schedule: Full-Time; non-exempt; Monday–Friday, plus weekends/holidays as needed
• Requires occasional travel for regional meetings, trainings, or emergent support at neighboring portfolio properties. 

COMPENSATION & BENEFITS

Salary: $24.00 - $28.00/hour, commensurate with experience
