Job Summary:

The Mountain Operations Administrative Supervisor is a cross-functional working supervisor who coordinates and executes day-to-day administrative, project, financial, safety, communications, information management, and operational support functions across Mountain Operations.

Working closely with the Mountain Operations Administration Manager, the Administrative Supervisor takes direct ownership of Dispatch operations and assigned administrative processes while partnering across departments to ensure systems operate effectively, projects remain organized, information flows efficiently, and commitments receive consistent follow-through.

Summary of Key Responsibilities:

Responsibilities and essential job functions include but are not limited to the following:

• Administrative Operations and Department Coordination
  • Maintain administrative systems and workflows that support the collection, organization, and distribution of operational, financial, project, safety, and departmental information, assist department managers and supervisors as needed.
  • Track assigned action items, deadlines, reporting requirements, and follow-up commitments; communicate status and escalate barriers when needed.
  • Identify opportunities to improve administrative efficiency, communication, and organizational effectiveness.
• Dispatch Operations and Staff Leadership
  • Lead the day-to-day operation of Mountain Operations Dispatch, including work assignments, schedule development, one-on-one meetings, coaching, performance management, recognition, and accountability.
  • Monitor Dispatch performance, service levels, and workload; identify and implement improvements to operating procedures, employee development, and communication processes.
  • Maintain sufficient working knowledge and proficiency to perform Dispatch functions and support operational continuity when necessary.
  • Coordinate with the Administrative Manager regarding staffing risks, employee relations, performance concerns, resource needs, and significant operational issues.
• Communications and Operational Technology Systems
  • Coordinate the day-to-day administration of operational communication systems, including radios, repeaters, rental radios, and related communications equipment.
  • Maintain equipment inventories, system records, standard documentation, and service histories.
  • Troubleshoot reported issues and coordinate repairs, maintenance, communicate operational impacts to affected departments.
  • Support system testing, improvement projects, user training, and implementation of standards established with the Administrative Manager.
• Financial, Reporting, and Business Administration
  • Maintain departmental checkbooks, budget tracking records, purchasing information, and other administrative financial systems, including support for capital tracking, project accounting, purchase order administration, and expense tracking.
  • Collect, validate, and report financial information; monitor purchasing and financial-process follow-up; and identify, communicate, and escalate missing information, exceptions, or concerns as appropriate.
• Safety Administration and Compliance Support
  • Maintain records associated with safety training, incident reporting, corrective actions, audits, and compliance activities as assigned.
  • Support the organization, review tracking, and maintenance of operational policies, procedures, manuals, and related documentation.
  • Coordinate collection and distribution of information related to safety initiatives, training programs, and compliance requirements.
  • Assist with tracking follow-up items and action plans resulting from audits, inspections, incidents, or safety initiatives.
• Project Administration and Coordination
  • Support capital projects, operational initiatives, and strategic planning efforts through administrative coordination, information management, project documentation, timeline updates, action-item tracking, budget tracking, and reporting.
  • Assist with gathering, organizing, and preparing information, presentations, reports, maps, and other project-related materials used for planning, implementation, review, and decision-making.
  • Support implementation and consistent use of project management processes, templates, and tools established for Mountain Operations.
• Mapping, GIS, and Infrastructure Information Systems
  • Maintain and support the development of mapping, GIS, and infrastructure information systems used by Mountain Operations, including the collection, organization, and management of aerial imagery, and asset information.
  • Use mapping and spatial information tools to support project planning, documentation, asset management, and operational decision-making.

Qualifications

Basic Qualifications:

• Associate's degree in Business Administration, Operations, Communications, Information Systems, Project Management, or a related field; or an equivalent combination of education and experience.
• Minimum of three years of progressively responsible administrative, project coordination, dispatch, operational support, or related experience, preferably within a ski resort or similar operational environment, with previous lead, supervisory, or departmental coordination experience preferred.
• Experience in one or more areas including budgeting, purchasing, project coordination, reporting, operational administration, radio communications systems, GIS, mapping, infrastructure records, or related technologies preferred.

Required Knowledge, Skills, and Abilities:

• Strong organizational, time management, and project coordination skills, with the ability to effectively prioritize work, manage competing demands, and meet deadlines in a fast-paced operational environment.
• Excellent communication, analytical, problem-solving, and decision-making skills, with the ability to organize, analyze, and present information effectively.
• Ability to supervise, coach, develop, and hold employees accountable for performance and results.
• Ability to coordinate across multiple departments and functions while independently managing assigned responsibilities, exercising sound judgment, escalating issues appropriately, and contributing effectively as part of a cross-functional team.
• Proficiency with Microsoft 365 applications including Excel, Word, Outlook, Teams, SharePoint.
• Knowledge of administrative procedures, records management, reporting processes, and documentation standards.
• Ability to maintain confidentiality and exercise sound judgment.
• Ability to build effective working relationships across departments and with external partners.
