Scientific Engagement Specialist II

Overview Location: Arlington, VA 22202 Position Type: Full Time Position title: Scientific Engagement Specialist II Clearance required: SECRET Responsibilities Planning & Policy Adherence: The Contractor shall assist the Government Lead with event planning and site evaluations in strict accordance with all applicable Department policies and procedures. Logistics & Setup: The Contractor shall manage event logistics (vendors, travel, and quotes) and ensure all physical and IT/AV room configurations are fully tested and completed in advance. Execution & Hospitality: The Contractor shall manage day-of event execution, ensuring all materials, hospitality services, and room setups are completely finalized prior to guest arrival. Executive & VIP Support: The Contractor shall provide comprehensive support for executive events, managing VIP logistics, security access, and coordination with the Protocol Officer. Reporting & Documentation: The Contractor shall process all conference approval packages and attendance reports in accordance with official guidance and maintain historical event archives. Staffing & Service Level Agreement: The Contractor shall maintain required on-site staffing, conduct daily check-ins, and meet all established response time metrics for communications and "pop-up" requests. IT & Security Compliance: The Contractor shall exclusively use approved government (.mil) networks and software for official business, ensuring zero data transfer to contractor or personal accounts. Deadlines & Tracking: The Contractor shall strictly adhere to all Government-established timelines and maintain a fully accessible central event calendar for all tasks and milestones. Qualifications A Certified Meeting Professional (CMP) designation or Certified Government Meeting Professional (CGMP) designation and have at least 3 years\' experience in meeting planning (or similar experience). In lieu of the desired certificate, Scientific Engagement Specialist II must have at least 5 years\' experience as a conference/event planner. Demonstrated competence in all aspects of meeting/event planning. Ability to effectively plan, manage, and execute conferences and events. Ability to effectively communicate both verbally and in writing. It is highly desired that the Scientific Engagement Specialist II be a Certified Meeting Professional.
