Event Manager Position

This Event Manager position is responsible for the administration, planning, of the facility events including front and back of house services, event production, custodial services, security and life safety, emergency preparedness, medical personnel services and equipment inventory control. Under the supervision of the Associate Executive Directors, the Event Manager provides overall planning and advancement of scheduled events at Old National Events Plaza with our clients. This individual will perform responsibilities as required and must be capable of working long irregular hours for an extended period of time as dictated by schedule of events. This position supervises custodial and events departments and applicable departmental staff, as well advancing and working events.

Essential duties include the following. Other duties may be assigned:

• Ensure all events are coordinated, produced, and executed in a professional manner.
• Will oversee personnel including setup and event staffing and contract labor.
• Plans and coordinates a variety of facility set-ups including family shows, concerts, sports and trade shows, conferences and banquet configurations.
• Trains, plans, schedules, supervises, disciplines and assigns full- and part-time employees engaged in preparing for events, meetings, or other assemblies. Ensures an effective, cost-efficient operation by helping to prepare and administer annual budget.
• Establishes, reviews and maintains a system of financial procedures, methods, accounts and controls records.
• Develops and implements standard operating procedures for each area of responsibility, including an effective preventative maintenance program.
• Assures the highest quality service to all tenants by establishing goals and supervising managers.
• Maintains logs, records and provides reports as required.
• Maintains inventory of equipment and supplies and makes requisition for proper levels of same.
• Establishes, disseminates and monitors work performance and safety standards and OSHA requirements. Organizes and executes training and safety programs.
• Assist in Development and implement Emergency Plan and trains facility employees.
• Attends internal meetings and represents the facility at external meetings as deemed necessary.
• Checks and verifies all payroll worksheets of personnel under his/her jurisdiction prior to approval of same.
• Experience in standard AV set up and execution (projectors, sound) is preferred.
• Related duties as required or assigned

Other duties include:

• Point of contact for client upon arrival through the entire event.
• Assures that event set-ups are in accordance with clients' agreements, safety, fire and health codes and procedures.
• Monitor scheduling system for upcoming events and room inventory to maximize room usage.
• Required to serve as Manager on Duty for banquet/meeting room events as scheduled which includes nights, weekends and holidays.
• Maintains regular office hours.

• Able to work an event-driven schedule including days, nights, weekends, and holidays when applicable.
• A demonstrated ability to follow directions and complete assigned tasks with a minimum amount of instruction and supervision is essential.

Education and/or Experience:

• Bachelor's degree (BA) from four-year college or university.
• Three to five years of successful experience in public assembly facilities operation, including front and back of house, life safety & security, event production, budget management and personnel management, or related experience and/or training; or equivalent combination of education and experience.
• Experience working in a computer network environment utilizing Microsoft Word, Excel, and CAD programs

Certificates, Licenses, Registrations:

• Must possess current, valid driver's license and a current working cellphone with a number that can be accessed by building management personnel for business contact purposes.

Language Skills:

• Ability to communicate effectively orally and electronically.

• Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
• Ability to write reports, business correspondence, and procedure manuals.

• Ability to speak and understand English.

Mathematical Skills:

• Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
• Ability to apply concepts of math on an Excel spreadsheet, calculator, ten key adding machine, or cash register such as discounts, interest, commissions, proportions, and percentage.
• Ability to add, subtract, multiple and divide in all units of measure, using whole numbers, common fractions and decimals.

• Ability to recognize casual relationships, disseminate between behavior mechanisms, and identify elements that are relevant to the validation of a judgment.

Physical Demands:

• Ability to perform the following physical activities: stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, talking, hearing, and repetitive motions.
• Ability to manipulate necessary office equipment, computer software and peripherals.
• Must be able to work flexible hours including evenings, weekends and holidays.
• Work is classified as light with the requirements of exerting up to 20 lbs. of force occasionally, and/or up to 10 lbs. of force frequently and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for sedentary work and the worker sits most of the time, the job is rated for light work.

Work Environment:

• While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts and the risk of electrical shock.
• The noise level in the work environment is usually moderate.
