Payroll Specialist

The Payroll Specialist is responsible for accurate, on-time payroll processing for the NAM team and provides day-to-day support across expense management, accounts payable, and routine HR administration. This role is a key point of contact for employees on pay and expense questions and supports the Finance Director with data retrieval and reporting used to track NAM performance. The Payroll Specialist works on site in Houston and reports directly to the Finance Director. This role will report directly to the Finance Director. Responsibilities & Key tasks: Payroll: Process bi-weekly/semi-monthly payroll for the NAM team accurately and on schedule, including hours, overtime, deductions, and off-cycle pay as needed. Maintain payroll records and ensure compliance with federal, state, and local wage and hour requirements. Set up and maintain employee payroll records for new hires, terminations, and status changes, coordinating with HR on effective dates. Respond to employee pay questions and resolve discrepancies promptly. Expenses: Review , process, and reconcile employee expense reports for accuracy and policy compliance. Track outstanding expense submissions and follow up with employees and managers as needed. Accounts Payable Support: Support the Accounts Payable process, including invoice coding, entry, and matching against purchase orders or approvals. Assist with vendor payment runs and respond to vendor inquiries as directed. HR Support: Support routine HR administration, including maintaining personnel files, onboarding paperwork, and benefits enrollment documentation. Assist with tracking employee status changes, PTO records, and other routine HR matters as assigned by the Finance Director or HR. Data Retrieval & Analysis: Pull and compile data from payroll, ERP, and HR systems to support reporting requests from the Finance Director and NAM leadership. Build and maintain routine reports (headcount, labor cost, expense trends) and flag discrepancies for follow-up. Administrative: Perform other administrative and finance/HR support tasks as assigned. Strong numerical skills Solid understanding of payroll laws and tax regulations Qualifications & Experience To be successful in this role you will have: 2+ years of payroll processing experience; multi-state payroll experience a plus. Experience with a payroll system (e.g., ADP, Paycom, UKG, or similar) and standard HRIS functions. Working knowledge of accounts payable processes and general ledger coding. Strong Excel skills and comfort pulling and organizing data from multiple systems. High degree of accuracy and attention to detail; comfortable handling confidential employee and financial information. Clear, professional communicator able to work directly with employees at all levels. Well organized and able to manage recurring deadlines (payroll cutoffs, expense cycles, reporting) without close supervision. Available to work on site in Houston, Texas. Education High school diploma or equivalent required; associate’s or bachelor’s degree in Accounting, Finance, HR, or related field preferred.
