Surgery Scheduler / Administrative Services Coordinator
We are seeking a highly organized and customer-focused Surgery Scheduler / Administrative Services Coordinator to support the Spine Center team. This position serves as a key administrative resource responsible for coordinating patient scheduling, managing calendars, facilitating clinic operations, handling insurance verification and authorization activities, and ensuring exceptional patient and provider support.
The ideal candidate will possess strong scheduling and administrative coordination experience, excellent communication skills, healthcare customer service expertise, and the ability to thrive in a fast-paced clinical environment.
Key Responsibilities:
Patient Scheduling & Coordination
- Schedule surgeries, appointments, consultations, and follow-up visits.
- Coordinate physician calendars and clinic schedules.
- Ensure accurate and timely scheduling of patient procedures.
- Communicate appointment details and pre-procedure requirements to patients.
- Manage scheduling changes, cancellations, and rescheduling requests.
Administrative Support
- Provide administrative support to department leadership and clinical staff.
- Coordinate calendars, meetings, and departmental activities.
- Maintain accurate records, documentation, and departmental files.
- Prepare reports and correspondence as needed.
- Support daily clinic operations and workflow management.
Patient & Customer Service
- Serve as a primary point of contact for patients and visitors.
- Respond professionally to inquiries, complaints, requests, and concerns.
- Deliver exceptional customer service while maintaining patient confidentiality.
- Assist patients with navigating scheduling and administrative processes.
Insurance Verification & Authorization
- Verify insurance eligibility and benefits.
- Obtain and track insurance authorizations for procedures and services.
- Coordinate with insurance providers regarding coverage and approvals.
- Maintain documentation related to insurance verification and authorization activities.
Communication & Coordination
- Answer and route incoming calls to appropriate personnel.
- Collaborate with physicians, clinical staff, patients, and external providers.
- Ensure timely communication regarding scheduling and insurance-related matters.
- Support cross-functional coordination to optimize patient care and operational efficiency.
Required Qualifications:
- High School Diploma or GED required.
- Bachelor's Degree preferred.
- Previous healthcare administrative, surgery scheduling, patient scheduling, medical office, or clinic coordination experience preferred.
- Experience with insurance verification and authorization processes.
- Strong customer service and patient interaction skills.
- Excellent verbal and written communication skills.
- Strong organizational and multitasking abilities.
- Proficiency with Microsoft Office Suite and healthcare scheduling systems.
- Ability to work effectively in a fast-paced healthcare environment.
Preferred Qualifications:
- Bachelor's Degree.
- Experience within a hospital, specialty clinic, or healthcare setting.
- Prior experience scheduling surgeries or specialty procedures.
- Knowledge of HIPAA regulations and healthcare compliance standards.
