Client Payment Specialist
A well-established law firm is seeking a detail-oriented Client Payment Specialist to support daily cash application, trust accounting administration, and reconciliation functions within the finance department. This role works closely with the Director of Finance, Collections Team, Accounts Payable, and other internal departments to ensure accurate financial operations, regulatory compliance, and audit readiness. This position offers the opportunity to work in a collaborative and professional environment with strong operational visibility and long-term growth potential within the accounting and finance team.
Essential Duties and Responsibilities:
- Post all incoming daily receipts, including ACH payments, wire transfers, checks, credit card payments, and other remittances while ensuring accurate allocation to client matters and general ledger accounts.
- Process trust account deposits, disbursements, and transfers in compliance with firm policies, IOLTA requirements, and applicable trust accounting regulations.
- Perform daily cash reconciliations by comparing accounting system postings to bank activity and coordinating with Accounts Payable to resolve discrepancies.
- Communicate with clients regarding payment timing, remittance clarification, anticipated incoming funds, and maintain documentation of all correspondence as required.
- Research and resolve issues related to cash application, trust transactions, and client payment inquiries while escalating unresolved matters appropriately.
- Maintain organized and accurate financial documentation to support internal controls, month-end close procedures, compliance audits, and reporting requirements.
- Collaborate with Billing, Collections, Accounts Payable, and additional internal departments to ensure consistency and accuracy across accounting workflows.
- Adhere to all company policies, accounting standards, confidentiality requirements, and regulatory guidelines related to cash handling and trust account management.
Qualifications:
- Minimum of 3 years of accounting experience within a law firm environment required.
- Associate or Bachelor's degree in Accounting, Finance, or related field preferred.
- Demonstrated proficiency with Aderant, Elite (Enterprise or 3E), or similar legal accounting systems.
- Strong understanding of trust accounting compliance and IOLTA regulations.
- Experience supporting high-volume cash application and daily reconciliation workflows.
- Advanced attention to detail and accuracy when handling sensitive financial information.
- Strong organizational skills with the ability to prioritize multiple responsibilities and meet deadlines.
- Professional written and verbal communication skills with the ability to interact directly with clients and internal stakeholders.
- Proficiency in Microsoft Office applications, particularly Microsoft Excel.
- Ability to work collaboratively in a team-oriented professional environment while maintaining discretion and confidentiality.
- Consistent attendance, punctuality, and reliability required.
- Ability to work overtime as needed to meet business demands and time-sensitive deadlines.
Preferred:
- Experience working with confidential matter-based billing structures.
- Prior experience in a high-volume legal finance or professional services accounting environment.
- Proactive approach to problem-solving and process improvement.
- Experience supporting audit preparation and compliance documentation.
