Position Description Values
Reporting directly to the Vice President of External Relations and managed by the Chief Growth Strategist, the External Relations Coordinator provides day-to-day coordination and administrative support for The Sanneh Foundation's external affairs efforts. This position serves as a key operational partner for strategic partnerships, communications, community engagement, donor cultivation activities, executive visibility initiatives, and special events.
The External Relations Coordinator is responsible for managing external relations calendars, preparing event and meeting briefings, coordinating organizational tours and site visits, facilitating special events logistics, supporting community and corporate partner engagement activities, and ensuring smooth communication across departments and external stakeholders.
Role and Responsibilities
External Relations Coordination
Provide day-to-day administrative and operational support to the Vice President of External Relations and Chief Growth Strategist.
Maintain and coordinate external relations calendars, including meetings, community events, partnership engagements, speaking opportunities, and special events.
Prepare comprehensive event, meeting, and stakeholder briefing materials for executive leadership.
Track invitations, RSVPs, attendance, and follow-up activities related to external affairs engagements.
Coordinate scheduling and logistics for external meetings with corporate, community, philanthropic, government, and media partners.
Ensure timely communication and follow-up with internal and external stakeholders.
Tours & Community Engagement
Coordinate organizational tours, site visits, and stakeholder experiences across Sanneh facilities and programs.
Serve as the primary logistics coordinator for prospective donors, community partners, funders, sponsors, and elected officials visiting Sanneh locations.
Develop tour schedules, briefing materials, talking points, and follow-up communications.
Ensure visitors experience a welcoming, professional, and mission-centered introduction to The Sanneh Foundation.
Maintain records and reporting related to visits, tours, and engagement opportunities.
Event & Special Project Support
Assist with the planning and execution of community events, donor cultivation gatherings, partnership activations, press events, and organizational celebrations.
Coordinate event logistics including venue arrangements, registration, catering, volunteer coordination, guest lists, materials, and on-site support.
Work with internal teams and external vendors to ensure successful event execution.
Support event setup, breakdown, and post-event reporting.
Assist with sponsorship fulfillment and partner recognition efforts when applicable.
Help track event deadlines, timelines, deliverables, and action items.
Partnerships & External Stakeholder Management
Support relationship management efforts for corporate, community, and strategic partners.
Maintain accurate records of stakeholder engagement, partnership activities, and follow-up.
Assist with preparing partnership presentations, proposals, reports, and stewardship materials.
Coordinate correspondence, meeting materials, and communications for key stakeholders.
Monitor and organize partnership commitments to ensure timely fulfillment and stewardship.
Cross-Team Collaboration
Collaborate with Development, Partnerships, Marketing/Communications, Outreach, Programs, and Operations teams to support organizational priorities.
Coordinate internal communication regarding upcoming events, tours, and stakeholder engagements.
Assist with collecting impact stories, program updates, and organizational information needed for stakeholder meetings and presentations.
Support board committee meetings and leadership engagement opportunities as assigned.
Contribute to a positive, collaborative culture across the organization.
Administration & Reporting
Maintain organized records, files, calendars, contact lists, and event documentation.
Track external affairs activities and prepare regular reports for leadership.
Monitor departmental workflows, timelines, and project milestones.
Support data entry and reporting activities within CRM and project management systems.
Identify opportunities to improve efficiency, communication, and stakeholder engagement processes.
Minimum Qualifications
Associate's degree or equivalent professional experience required; Bachelor's degree preferred.
Two to four years of experience in administrative coordination, event planning, community engagement, communications, nonprofit operations, or related fields.
Strong organizational and project management skills with exceptional attention to detail.
Excellent verbal and written communication skills.
Demonstrated ability to manage multiple projects and deadlines simultaneously.
Strong interpersonal skills and ability to build positive relationships with diverse stakeholders.
Proficiency with Microsoft Office, Google Workspace, calendar management tools, and CRM systems.
Ability to exercise discretion and professionalism when handling confidential information.

Preferred Qualifications
Bachelor's degree in Communications, Public Relations, Nonprofit Management, Business Administration, Event Management, or a related field.
Experience coordinating executive schedules and stakeholder engagement activities.
Experience supporting fundraising events, community events, or partnership initiatives.
Familiarity with CRM databases, event registration software, and project management platforms.
Experience working in nonprofit, community-based, or youth-serving organizations.
Knowledge of corporate partnership and donor stewardship practices.
