Position Summary **Must be Bilingual (Spanish & English)
The Paint Department Coordinator is responsible for managing daily paint scheduling operations for builder projects, coordinating with paint subcontractors, and supporting internal paint department activities. This role ensures all builder paint requests are scheduled and completed on time while maintaining accurate communication, work order processing, and invoicing procedures.
Key Responsibilities
Builder Scheduling & Coordination
- Review daily schedules and tasks on each Builder’s online platform.
- Identify and track all required paint processes for assigned projects.
- Coordinate scheduling with paint subcontractors to ensure builder-requested tasks are completed on the specified dates.
- Communicate directly with subcontractors regarding:
- Paint colors and product specifications
- Scope of work
- Required paint procedures and company standards
- Ensure subcontractors understand proper procedures for:
- Priming
- Second roll applications
- Trim and door painting
- Final paint touch-ups
- Exterior painting
- Additional paint-related processes as required
Internal Paint Department Support
- Prepare and distribute work orders for internal Paint Department technicians.
- Schedule and coordinate homeowner appointments, inspections, estimates, and service work.
- Maintain organized and accurate records of all paint-related work orders and scheduling activities.
Work Orders & Invoicing
- Create and manage work orders within QuickBooks.
- Process and generate invoices for chargeable work.
- Email invoices and related documentation to builders, homeowners, vendors, or other designated parties.
- Ensure invoicing is completed accurately and in a timely manner.
Communication & Administrative Duties
- Maintain professional communication with builders, subcontractors, homeowners, and internal staff.
- Follow up on pending work orders, scheduling updates, and completion statuses.
- Assist in resolving scheduling conflicts or project-related issues.
- Maintain department organization and documentation.
Qualifications
- Previous experience in construction coordination, paint operations, scheduling, or administrative support preferred.
- Knowledge of residential paint processes and terminology is strongly preferred.
- Proficiency in QuickBooks and Microsoft Office applications.
- Strong organizational and multitasking skills.
- Excellent communication and customer service abilities.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Detail-oriented with strong problem-solving skills.
Physical & Work Requirements
- Primarily office-based with occasional field coordination as needed.
- Ability to manage multiple schedules, phone calls, and electronic communications throughout the workday.
Preferred Skills
- Experience working with Builder online scheduling platforms.
- Familiarity with residential construction timelines and warranty processes.
- Experience coordinating subcontractors and service technicians.
