We are seeking a highly organized and dynamic Medical Practice Administrative Assistant to join our practice . This role involves supporting the day-to-day operations of our busy practice, assisting both patients and staff with a variety of administrative tasks to ensure smooth workflow and excellent patient service. The ideal candidate will have experience in a medical office setting, be comfortable with scheduling systems, and possess strong communication skills.

What You'll Do  

• Policy & Workflow Optimization: Develop and implement procedures to streamline provider onboarding, credentialing, and scheduling.
• Compliance & Quality: Partner with clinic operations to ensure full compliance with regulatory standards.
• Schedule & Capacity Management: Manage provider schedules and coordinate shift coverage to maximize clinical efficiency.
• Clinical Application Management: Maintain electronic medical records (EMR) and practice management systems with high accuracy.
• Provider & Patient Engagement: Collaborate with providers to facilitate efficient communication; manage patient consult communications across USA and Canada.
• Prescription Management: Process incoming sedative requests and manage any patient outreach as needed.
• Urgent Consult Coordination: Proactively identify urgent consults and execute rapid outreach to secure timely provider appointments for patients.
• Slack Channel Oversight: Monitor dedicated Slack channels to maintain rapid response times for actionable internal requests.
• Complaint & Project Support: Facilitate timely patient dispute resolution and assist the Practice Manager with special projects and reporting tasks as needed.
• Patient Journey Support: Assist the Client Services Partner team with scanning workflow packages and guiding patients from scheduling to post-scan follow-ups.
• Lab Coordination: Work with third-party providers to coordinate home lab draws, ensuring results are finalized prior to patient consultations.
• Report Distribution: Oversee the timely delivery of specialized reports.
• Bottleneck Resolution: Track patient progress and proactively resolve operational delays or scheduling roadblocks.
• Cross-Functional Communication: Maintain clear alignment between patients, sales, and clinical teams to deliver seamless care coordination.

What You'll Bring

• Experience: 3–5 years of healthcare administrative experience, with specific exposure to primary care and/or radiology environments.
• Education: High school diploma or GED required.
• Technical Skills: Proficiency with practice management software, EMRs, Microsoft Office, Google Workspace, and modern collaboration tools (e.g., Slack).
• Industry Knowledge: Solid understanding of medical terminology and foundational radiology procedures.
• Core Competencies: Strong organizational, problem-solving, and time-management skills with acute attention to detail.
• Adaptability: Ability to thrive under pressure and adapt to shifting priorities in a fast-paced, high-growth environment.

Nice-to-Have:

• Associate's degree or Medical Administration certification preferred.

Physical Considerations:

• Standard office environment requiring long periods of sitting and computer work.

• The base salary for this role ranges from $68,000-$72,500 in local currency, depending upon experience
