Substitute Coordinator - 2026-2027 Porter‑Gaud School is an Episcopal, independent, coeducational day school serving approximately 1,050 students in Grades 1‑12. Porter‑Gaud also includes TheO'Quinn Schools of Porter‑Gaud, serving approximately 620 students across two campuses in programs for two‑year‑olds through 5K. Porter‑Gaud School is seeking a Substitute Coordinator for the 2026‑2027 school year. This is a full‑time, exempt, 10‑month position. The annual work schedule begins August1st and concludes in early June, based on the school calendar. Position Summary The Substitute Coordinator is responsible for recruiting, training, scheduling, and supporting substitute teachers across the Lower, Middle, and Upper Schools. This individual cultivates and maintains a strong substitute pool, develops an understanding of where each substitute is best utilized, and ensures seamless classroom coverage for faculty absences. This position requires exceptional organization, flexibility, and customer service skills in a fast‑paced environment. The Substitute Coordinator must be prepared to step into classrooms and provide last‑minute coverage when necessary while collaborating closely with School Leadership, Human Resources, Payroll, and Faculty. Essential Duties and Responsibilities Coordinate all aspects of substitute teacher scheduling for the Lower, Middle, and Upper Schools for faculty absences during and outside of normal school hours in collaboration with Division Heads and administrative assistants. Provide classroom coverage and supervise students when substitute coverage is unavailable. Maintain an emergency lesson plan file for all faculty. Recruit substitute teacher candidates in partnership with Human Resources, including advertising positions, interviewing, conducting reference checks, and assisting with onboarding. Ensure substitutes complete all required onboarding, including employment paperwork, abuse prevention training, technology training, and other required compliance training. Organize and facilitate substitute orientation sessions as needed. Maintain accurate faculty absence records using the School's substitute management system, ReadySub. Review and approve substitute time worked and submit payroll information according to established payroll deadlines. Assist the College Counseling Office and Testing Coordinator with recruiting and scheduling standardized testing proctors and ensuring timely payroll processing. Provide additional support during standardized testing periods as assigned. Provide support to the Human Resources Department with administrative tasks as needed. Perform other duties as assigned by School leadership such as chaperoning school trips and driving the School mini bus, if needed. Minimum Qualifications Required Bachelor's degree from an accredited college or university. Strong organizational, communication, and interpersonal skills. Excellent attention to detail and ability to manage multiple priorities simultaneously. Demonstrated technology proficiency, including Microsoft Office, Google Workspace, Zoom, and database systems. Ability to work independently while collaborating with multiple departments. Ability to maintain the highest level of confidentiality. Preferred Prior classroom teaching experience. Experience in Human Resources, school operations, or employee scheduling. Experience with substitute management software such as ReadySub or similar platforms. Experience working in an independent school environment. The successful candidate will demonstrate Outstanding organizational and time management skills. Strong customer service skills and the ability to build positive relationships with faculty, staff, substitute teachers, students, and families. Dependability, punctuality, and excellent attendance. A collaborative spirit and willingness to support the broader needs of the School community. Reporting The Substitute Coordinator reports directly to the Director of Human Resources and works collaboratively with the Lower School Head, Middle School Head and Upper School Head. Salary Commensurate with experience for an entry level educational/administrative position.
