Since 1998, HERS Breast Cancer Foundation (“HERS”) has supported breast cancer patients and survivors by providing post-surgical products and services, regardless of their financial resources. “HERS” represents Hope, Empowerment, Renewal, and Support—values that guide our patient-centered care. HERS is an accredited Durable Medical Equipment (DME) provider and 501(c)(3) nonprofit with locations in Fremont and San Leandro. Programs are sustained through insurance reimbursements, fundraising, grants, and volunteer support. Bilingual and multilingual candidates are encouraged to apply. Program Director – Care Operations & Patient Services Position Overview The Program Director manages the execution, operations, and financial sustainability of the Foundation’s patient programs. Supported by an internal team (in-person and remote) and an external billing vendor, this role oversees patient care, product procurement and inventory, revenue cycle workflows, and staff supervision. Key Responsibilities Staff Supervision: Lead mastectomy fitters and administrative staff, ensuring compliance with operational policies, HIPAA regulations, and high patient care standards. Step in for complex fitting appointments or patient escalations as needed. Staff Development: Oversee training, accreditation compliance, and continuing education. Ensure new fitters earn their Certified Mastectomy Fitter (CFm) designation within 6 months of hire (fully Foundation-funded). Workflows & Financials: Oversee the process of patient intake, scheduling, charting, product dispensing, and Assistance Program allocations. Establish and track monthly/annual program revenue and inventory targets alongside the Executive Director. 2. Operations, Inventory & Billing Vendor & Inventory Management: Secure competitive pricing, bulk purchase agreements, or donations with DME manufacturers and distributors. Maintain inventory software and direct annual multi-location inventory audits. Billing & Reimbursements: Partner with support staff and the third-party billing vendor to manage insurance contracts, claim submissions, authorizations, rate changes, and escalations. Quality & Accreditation: Maintain facility sanitization, clinical charting standards, and adherence to accreditation policies. Governance Reporting: Prepare impact reports and participate in six annual Saturday Board of Directors meetings. 3. Stakeholder & Development Engagement Clinical Partnerships: Build referral networks with surgeons, oncology nurses, physical therapists, and clinical partners. Development Support: Supply qualitative patient stories and quantitative impact/demographic metrics to the development team for fundraising initiatives. Qualifications & Competencies Bachelor’s or Master’s degree in one or more of the following: Healthcare Administration, Nursing, Public Health, Social Work, Business or Finance. 4–6 years’ experience managing healthcare, including nonprofit programs and back-office operations for a small to medium organization (women’s health, clinic management, or oncology preferred). Certifications: CFm preferred or required within 6 months of hire (Foundation-funded). Clinical & Insurance Expertise: Knowledge of post-surgical anatomy, lymphedema, and emotional impacts of breast cancer treatment; ability to interpret insurance contracts and revenue cycle workflows. Technical Competency: Experience and competency with Electronic Health Record (EHR) platforms; product inventory systems; and financial tools such as Microsoft Excel and/or Google Sheets. Financial Competency: Forecasting and budgeting experience, establishing and meeting/exceeding sales goals, and experience negotiating vendor/partner agreements. Executive Communications: Experience creating and presenting business status reports and recommendations to business executives and/or governing bodies. Direct Supervision & Team Leadership : 3+ years of experience managing 5+ staff members, including: Establishing clear performance goals, conducting reviews, and mentorship. Developing/managing team workflows, task delegation, and maintaining high operational efficiency and patient care standards. Managing staff coverage and scheduling, and workload distribution to meet program or operational goals. Additional skills: Active listening, conflict de-escalation, accurate and concise patient charting, Microsoft 365 proficiency, and 40+ wpm typing speed. Work Conditions & Requirements Schedule & Meetings: Weekly fitter/support team check-ins, monthly all-staff meetings, and mandatory attendance at major annual fundraising events (Spring Gala and Fall Walk/Run). Travel & Location: Based at primary location (Fremont, CA) with occasional travel to satellite location or community events; reliable transportation and proof of valid auto insurance required. Background Check: Employment is contingent upon successful completion of a Foundation-funded background check.
