Home Team Program: Office Assistant About the Department of Aging The Baltimore County Department of Aging strengthens lives by connecting individuals to community resources, programs, and services. The Home Team Program connects older adults with volunteers who support their emotional and physical well-being. This position provides clerical support to the Home Team program and interacts with older adults, volunteers, and agency staff. Job Purpose Under general supervision, performs comprehensive clerical and routine administrative duties to ensure the efficient operation of an office or coordinates a major function within a County agency or bureau. Essential Job Duties Provide general clerical assistance to the program Assist with the Home Team Program Operations Assist with the volunteer and client vetting process Assist with Data Entry Examples of Other Duties Use automated office systems, such as a computer, to prepare a variety of emails, memos, and other material from a draft or specific instructions. Access databases to establish, retrieve, review, update, track, and revise a variety of office records. Respond to inquiries of a routine nature regarding County, department, and/or program policies in person, by telephone, or by regular or electronic mail. Collect information regarding more complex inquiries and refer to appropriate staff for follow‑up as necessary. Operate office machinery, such as photocopiers, calculators, telephones, scanners, and printers. Perform other related duties as required. Education and Experience Possession of a high school diploma or an appropriate equivalent plus one year of typing, word processing, or secretarial experience. (Additional experience as described in the essential duties may be substituted on a year‑for‑year basis for the required education. Additional education may be substituted on a year‑for‑year basis for the required experience.) Knowledge, Skills, and Abilities (Entry Level) Knowledge of modern office methods and procedures, including filing systems. Knowledge of spelling, grammar, and arithmetic. Knowledge of MS Office, database management, and spreadsheet software packages. Knowledge of guidelines regarding eligibility for our programs. Ability to compose simple letters and memos. Ability to communicate effectively. Ability to work independently and make decisions with accuracy and attention to detail. Ability to follow County and departmental rules and regulations. Ability to respond appropriately to inquiries from the public. Ability to maintain client confidentiality. Ability to establish and maintain positive relationships with clients, volunteers, and community partners. Ability to effectively triage information from callers and email recipients. Licenses and Certificates Some positions within this classification may require possession of a valid driver’s license equivalent to a Non‑Commercial, Class C Maryland driver’s license at the time of appointment. Proof of Licenses, Certifications, and Education Applicants are required to submit proof of education to meet the position’s minimum qualifications. Diplomas or transcripts must show the applicant’s major field of study. Copies and unofficial transcripts are acceptable. Physical and Environmental Conditions The work of these positions is essentially sedentary, with occasional walking or lifting, and other restricted physical activities. Some employees in this classification may be required to work overtime with little or no advance notice. Some positions may be designated as Emergency/Essential.
