Administrative Assistant

Summary/Primary Purpose: This clerical position assists the Corps in managing all clerical and other general office procedures.
Essential Duties and Responsibilities:
Certificates, Licenses, Registrations: Must successfully complete Safe from Harm training within 90 days of hire, as established by The Salvation Army. Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Physical requirements include: good speaking, hearing and vision ability and excellent manual dexterity. Ability to stand, bend and reach for extended periods of time, dexterity of hands and fingers to operate cleaning equipment. This position will require the ability to lift and/or move more than 25 pounds occasionally. Essential Duties and Responsibilities:
- Establish and maintain effective working relationships with employees, other agencies and the public.
- Draft written responses or replies by phone or e-mail, when necessary, respond to regularly occurring requests for information.
- Responsible for establishing priorities and meeting deadlines as directed.
- May be responsible for actions related to payroll processing, including time off requests and approval of timecards.
- Keep Corps management team apprised of appointments, office situations, administrative needs, property issues and supplies needed.
- Maintain files in compliance with The Salvation Army (TSA) systems including correspondence, financial materials, and all corps office related data.
- Collect data, track, and implement statistics as needed.
- Regulate for proper compliance to TSA policy all necessary paperwork for Safe from Harm, (SFH) maintain full and accurate records pertaining to SFH.
- Preparation of required statistical, financial, reimbursements, deposits and other reports as needed.
- May attend as assigned committees and meetings, help gather/order necessary items for events, assist and attend events.
- Track information relating to special projects as assigned, to include Christmas efforts and volunteers.
- Track/maintain office equipment and order office supplies.
- Responsible for basic accounting functions for Corps to include expense reports, reimbursements, receipts and other duties as assigned.
- Driving is an essential function of the position.
- All other duties as assigned.
- Ability to be flexible and able to work on multiple projects or tasks simultaneously.
- Intermediate Microsoft Word and Excel skills, and the ability to access payroll, timekeeping, and personal data via a web-based system.
- Administrative skills include utilization of standard office equipment, data entry, 10-key, attention to details and filing.
- Good communication skills both written and spoken, and ability to maintain effective working relationships.
- Demonstrated ability to handle confidential matters.
