Client Operations Manager

San Jose, CA Onsite Full-time, permanent placement opportunity The Client Operations Manager is responsible for the independent management and execution of client and business operations. Operating under general supervision, this position moves beyond traditional administration to focus on operational oversight, workflow prioritization, process improvement, and resolving non-routine client service challenges. Key Responsibilities Operational Oversight & Execution: Independently manage client-process management, business workflows, and daily operational priorities with high accuracy and follow-through. Process Improvement: Evaluate existing administrative and client-service workflows, identify bottlenecks, and design streamlined systems for maximum efficiency. Problem-Solving & Decision-Making: Evaluate operational issues, assess risk and alternatives, and exercise independent judgment to execute solutions quickly. Client & Executive Support: Manage multi-step client pipelines, oversee case management, and provide high-level operational partnership to sales professionals, advisors, or executives. Systems & Data Management: Leverage macOS and cloud-based operations systems to track client engagements, ensure documentation integrity, and handle sensitive, confidential data appropriately. Qualifications Experience: 3+ years in client operations, business operations, high-level office management, or sales support. Industry experience in insurance, finance, legal, or other regulated professional services is strongly preferred. Technical Skills: Advanced proficiency with Google Workspace (Docs, Sheets, Slides, Drive, Calendar, Meet), native macOS/Apple hardware, and typing speed of 60+ WPM. Workflow Management: Proven experience managing CRMs, multi-step business processes, competing deadlines, and direct client interactions. Communication: Exceptional written and verbal skills, with professional phone decorum and a dedicated client-service orientation. Work Style: High degree of autonomy, acute attention to detail, quick adaptability to new software/procedures, and dependable professionalism.
