Job Description:\n\nGeneral Notes\nThe IT Training Manager – Epic & Clinical Systems provides leadership and oversight for Dell Medical School's Epic and healthcare technology training program. This role is responsible for developing training strategy, leading training operations, managing training staff, and ensuring the effective design, delivery, and continuous improvement of education programs supporting Epic applications, electronic health record (EHR) systems, and associated digital technologies. The position partners closely with clinical, operational, and technical leaders to promote user adoption, workflow optimization, organizational readiness, and successful technology implementations.\nImportant Employment Information\nThis position is not eligible for employer-sponsored work authorization. Applicants requiring current or future visa sponsorship are not eligible for employment in this position.\nPurpose\nThe IT Training Manager – Epic & Clinical Systems leads the organization's Epic and healthcare technology training function by establishing training strategy, managing staff, overseeing curriculum development, and ensuring successful adoption of clinical and business applications. This role provides leadership for user readiness, workflow optimization, onboarding, system implementations, upgrades, and ongoing education while partnering with clinical informaticists, application analysts, operational leaders, and executive stakeholders to support organizational goals.\nResponsibilities\nDevelops and Maintains Training Programs\n\n \n Establish departmental standards for curriculum development, instructional design, training delivery, and competency assessment\n \n Oversee training governance to ensure consistency, quality, compliance, and alignment with organizational objectives\n \n Establish key performance indicators and success measures for training effectiveness and user readiness\n \n Design education programs tailored to clinical and non-clinical audiences\n \n Oversee the development, maintenance, and quality of training materials, curricula, e-learning content, and user education resources\n \n Align training content with clinical workflows and application functionality\n \n Update educational materials based on system enhancements, workflow changes, and user feedback\n \n Ensure training supports organizational standardization and optimization initiatives\n \n Manage project training requirements and scheduling of training resources\n \n Develop, administer, and monitor training-related budgets, instructional technologies, training environments, educational materials, travel, and vendor-supported training activities\n \n Establish user application assignments and training pathways based on job responsibilities, workflows, security requirements, and organizational standards\n \n Ensure assigned curricula and competencies support effective system utilization and user readiness\n\nDelivers Training and Onboarding\n\n \n Ensure effective delivery of classroom, virtual, and hands-on training programs through direct facilitation or delegation to training staff\n \n Oversee onboarding education programs for new employees, providers, and operational teams\n \n Deliver individual and group training for new clinics, departments, and operational initiatives\n \n Deliver education supporting software updates and new Epic functionality\n \n Provide at-the-elbow support for providers, clinical staff, and non-clinical users\n \n Provide leadership in resolving training issues and operational challenges\n\nAssigns Applications and Supports User Proficiency\n\n \n Determine appropriate application assignments based on user roles and workflow requirements\n \n Develop and maintain advanced knowledge of supported Epic applications\n \n Guide users through role-specific workflows and operational procedures\n \n Monitor user proficiency and application adoption\n \n Manage training requests, access questions, and user support needs\n \n Work closely with department managers to identify and document training requirements\n\nCoordinates Training Logistics\n\n \n Schedule training sessions and manage training environments\n \n Coordinate logistics for educational events across multiple locations\n \n Track attendance, training completion, and competency records\n \n Ensure availability of required equipment, systems, and training resources\n \n Maintain training documentation and related administrative records\n \n Establish and manage training schedules supporting system implementations, upgrades, optimization initiatives, onboarding activities, and ongoing education\n \n Coordinate training resources to align with operational priorities and project timelines\n\nAnalyzes Training and Workflow Effectiveness\n\n \n Review organizational activities and operational data to support planning and process improvement\n \n Assess curriculum effectiveness and recommend quality improvements\n \n Provide feedback supporting the build and maintenance of training environments\n \n Maintain an understanding of organizational policies, ambulatory operations, and business workflows\n \n Align training with Epic application functionality and organizational processes\n \n Identify, investigate, and resolve training-related issues affecting user adoption, system utilization, and workflow efficiency\n \n Recommend enhancements to training programs, educational materials, and workflow processes based on performance metrics, user feedback, and organizational objectives\n\nConsults and Collaborates with Stakeholders\n\n \n Collaborate with Applications & Informatics teams, project managers, department leaders, and super users\n \n Ensure training content is standardized and aligned with organizational initiatives\n \n Lead optimization of operational workflows through on-site review and departmental support\n \n Promote efficient workflows that improve operational effectiveness, customer satisfaction, and quality outcomes\n \n Support strategic organizational goals through targeted training and workflow enhancements\n \n Collaborate with operational, clinical, and informatics leadership to support user adoption, workflow optimization, and effective utilization of Epic and business applications\n \n Escalate significant operational, technical, compliance, resource, or policy issues to senior leadership as appropriate\n \n Partner with stakeholders to identify educational needs and develop strategies that improve organizational performance and end-user proficiency\n\nManages Direct Reports\n\n \n Establish departmental goals, priorities, staffing plans, and workload assignments\n \n Develop and mentor training staff and future training leaders\n \n Ensure appropriate staffing coverage for implementations, upgrades, optimization initiatives, and support activities\n \n Evaluate staff competency and training effectiveness\n \n Provide full-cycle supervision including recruitment, onboarding, coaching, performance management, and employee development\n \n Establish performance expectations, monitor progress, and provide ongoing mentoring and feedback\n \n Complete performance evaluations and development plans\n \n Approve timecards, schedules, paid time off, and routine personnel actions\n \n Address employee relations and performance concerns in partnership with Human Resources\n \n Promote employee engagement, accountability, and professional growth while ensuring alignment with departmental and organizational goals\n\nMarginal or Periodic Functions\n\n \n Participate in go-live support and floor training during system implementations\n \n Assist with testing and rollout of new application functionality\n \n Support training activities for vendors and external partners\n \n Participate in change management and communication initiatives\n \n Participate in Business Administration, Information Systems, Organizational Development, or a related field\n \n Minimum of five years of progressively responsible experience in healthcare technology training, Epic, EHR education, healthcare IT, informatics, or a related field\n \n Minimum of two years of people leadership, supervisory, project leadership, or management experience\n \n Experience leading educational initiatives, system implementations, organizational change, or user adoption programs\n \n Knowledge of healthcare workflows and information system applications supporting multi-specialty clinic operations, ambulatory surgery centers, research, and higher education\n \n Experience developing training strategy, curriculum, competency programs, and instructional materials\n \n Strong leadership, presentation, facilitation, communication, and organizational skills\n \n Ability to manage multiple priorities while leading cross-functional teams and enterprise initiatives\n\nRelevant education and experience may be substituted as appropriate.\nPreferred Qualifications\n\n \n Master’s degree in Health Informatics, Instructional Design, Healthcare Administration, Organizational Development, Business Administration, or a related field\n \n Experience leading Epic training, education, or user adoption programs\n \n Experience managing training resources supporting Epic implementations, system upgrades, optimization initiatives, and organizational change\n \n Experience supporting Epic applications within a healthcare environment\n \n Cross-credentialed in multiple Epic modules\n \n Epic implementation or go-live leadership experience\n \n Experience developing enterprise training standards, governance processes, competency programs, or learning strategies\n \n Experience with instructional design, adult learning methodologies, or Learning Management Systems (LMS)\n\nLicenses/Registrations/Certifications\nRequired\n\n \n Epic Certification, Accreditation, or Credential in at least one Epic application or training track\n \n Ability to obtain and maintain additional Epic certifications, accreditations, or credentials as required by assigned responsibilities\n\nPreferred\n\n \n Multiple Epic certifications, accreditations, or credentials\n \n Epic Principal Trainer Certification or designation\n \n Instructional Design Certification\n \n Adult Learning Certification\n \n Certified Professional in Healthcare Information and Management Systems (CPHIMS)\n \n Project Management Professional (PMP) Certification\n \n Change Management
