Harbor is seeking a Support Services Specialist to provide front desk support to various Harbor locations in the Toledo area.

Position is full-time, 1st shift, 40 hours per week.

Education/Experience/Other Requirements:

• High school diploma or equivalent required with two years of closely related office
  experience strongly preferred.
• Previous data entry experience.
• Ability to handle multiple-line phone system and busy waiting room simultaneously.
• Excellent customer service skills required; Ability to communicate clearly and effectively with
  a variety of people and be a team player.
• Flexibility, strong multi-tasking skills, and excellent organizational skills are also required.
• Ability to manage stress and maintain client confidentiality.
• Must be proficient and accurate in computer use, including Microsoft Office.

Essential Job Competencies/Primary Duties:

1. Answers all calls in a professional, warm, courteous, and efficient manner in accordance with
   organization’s Vision XXI service excellence efforts. Transfers calls to Voice Mail or takes
   accurate written messages and proper and prompt delivery.
2. Answers all incoming calls from clients regarding their appointments which include new and
   follow-up appointments, cancellations, and rescheduling.
3. Ensures that clients are announced to appropriate staff person; Provide any necessary follow up and ensure the client is attended to in a timely manner.
4. Schedules ongoing appointments for other Harbor locations.
5. Collects payments from clients as required. Reconciles cash box and completes deposit or
   distributes cash drawer to designated person, as assigned.
6. Performs opening/closing duties as assigned.
7. Provides quality and timely support to both internal and external customers and strives for
   customer satisfaction.
8. Keeps current with trends and developments related to essential job competencies and
   demonstrates continued growth.
9. Distributes mail as assigned.
10. Verify client information and scan updated insurance information into the client record.
11. Monitor client flags for support related issues at time of visit.
12. Respond to email, Teams and written requests from other depts in a timely manner.
13. Attends support staff and other meetings as appropriate and serves on office committees as
    assigned.
14. Keeps current with trends and developments related to essential job competencies and
    demonstrates continued growth.
15. May float to other locations to accommodate client or agency need.
16. Follows crisis prevention and intervention protocols.
17. Accepts and completes other duties as assigned.
18. Utilizes IT system and other system software programs appropriately.
19. Reaches conclusions promptly and takes definite course of action.
20. Plans and organizes work for maximum effectiveness and efficiency.
21. Utilizes supervision appropriately.
22. Utilizes time off appropriately and consistent with Harbor policies.
23. Performs other duties as assigned.
