Position Summary Office Assistant – NYU Langone OBGYN Associates – Great Neck. Provide basic front‑desk support for clinical intake operations and assist with pre‑authorizations and certifications (except surgical procedures). Job Responsibilities Performance of other duties as assigned. Reception assistance: greet patients, answer phone calls, and direct callers to the appropriate personnel. Screen telephone callers in a professional manner; take messages or direct callers as needed. Schedule routine appointments and follow‑ups that do not require pre‑authorization. Refer all pre‑authorization and certification inquiries to the appropriate staff member. Collect, complete, and organize all patient‑related documents; assist patients with enrolling in Patient Secure, if necessary. Confirm patient appointments daily and maintain schedule to avoid gaps. Patient check‑in and check‑out: gather demographic data, obtain insurance information, verify eligibility electronically, take a photo, and ensure patients use Patient Secure. Collect signatures on HIPAA, MSPQ, ABN, and related documents; follow up for missing data and refer to senior staff when required. Collect co‑pays and other balances owed; scan insurance cards, lab requisitions, and other documents into the intake system. Monitor the intake work queue for timely completion of tasks. Handle pre‑authorizations and certifications (except surgical procedures); ensure accurate procedure and diagnosis coding and verify completeness with physicians. Assist patients with insurance coverage questions and refer financial matters to the business office when appropriate. Maintain cooperative and professional relationships with physicians, nurses, and clinical staff. Type routine materials such as forms, letters, and envelopes neatly and accurately. Answer patient questions, ensure understanding and satisfaction, or refer to senior staff. Maintain confidentiality of privileged matters. Maintain and organize files in accordance with departmental procedures; sort, distribute, and log documents; process incoming and outgoing paperwork. Fax documents in accordance with procedures; maintain supplies and cleanliness; restock supplies as needed; notify supervisor of shortages. Provide guidance and training to staff on intake-related duties when required. Minimum Qualifications High School diploma or equivalent. Excellent organizational, interpersonal, verbal, and written communication skills. Strong customer service skills and the ability to complete multiple tasks efficiently. Team‑work orientation. Knowledge of Microsoft Office, database, and internet applications. Light, accurate keyboarding skills. Preferred Qualifications At least 6 months of experience in a physician office setting. Knowledge of medical terminology. Experience with EPIC Ambulatory. Salary Range Salary range for the role is $48,308.00 – $48,308.00 annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
