Position Overview

Property Ready is seeking a friendly, organized, and dependable Administrative & Client Services Coordinator to assist with daily operations, customer service, scheduling, and project coordination.

Property Ready helps homeowners, Realtors, property managers, and other clients prepare properties for selling, moving in, rental turnovers, and ongoing maintenance. We coordinate cleaning and property-related services to make the process easier for our clients.

The ideal candidate is detail-oriented, communicates professionally, enjoys helping people, and can manage multiple tasks while keeping projects moving forward.

Key Responsibilities

Customer Service & Communication

• Answer incoming calls, emails, texts, and online inquiries.

• Assist customers with service requests and general questions.

• Follow up with customers, Realtors, and property managers regarding scheduling and project updates.

• Provide friendly, professional, and timely customer service.

Scheduling & Project Coordination

• Schedule appointments, estimates, and property services.

• Coordinate services with internal teams and outside service partners.

• Monitor upcoming appointments, deadlines, and project progress.

• Confirm appointments and communicate scheduling changes.

• Follow up to ensure services are completed and customers are satisfied.

Administrative Support

• Enter and maintain accurate customer and property information.

• Prepare and send estimates, invoices, and other documents as needed.

• Organize service requests, job notes, photos, and project records.

• Track outstanding requests and follow up on incomplete tasks.

• Assist with general office duties and daily administrative operations.

Business & Partner Support

• Communicate with Realtors, property managers, and service professionals.

• Assist with onboarding and coordinating local service partners.

• Help maintain strong relationships with existing customers and business partners.

• Support marketing, customer follow-ups, and business development activities as needed.

Qualifications

• Previous administrative, customer service, or office experience preferred.

• Excellent verbal and written communication skills.

• Strong organizational skills and attention to detail.

• Comfortable using computers, email, scheduling software, and customer management systems.

• Ability to multitask, prioritize responsibilities, and work independently.

• Professional, dependable, and customer-focused.

• Experience in cleaning services, home services, real estate, or property management is a plus but not required.
