Job Details

Position Summary: The Lease Administrator is responsible for lease administration, corporate entity management, and maintaining accurate legal and operational records. This role works closely with accounting, property management, legal counsel, and ownership to support acquisitions and portfolio operations.

The ideal candidate is organized, analytical, enjoys improving processes, and is eager to leverage AI and technology to increase efficiency.

Day to Day Responsibilities:
Lease Administration

• Maintain commercial lease records and abstracts.
• Track lease terms, renewals, options, rent commencements, and critical dates.
• Coordinate lease documentation with accounting, property management, and legal.
• Maintain organized and accurate lease files.

Corporate Governance

• Form and maintain LLCs and other legal entities for property acquisitions.
• Maintain corporate records and compliance filings.
• Coordinate with attorneys and registered agents.

Process Improvement

• Identify and implement process improvements.
• Develop standard operating procedures.
• Utilize AI and automation to improve workflows and reduce manual tasks.

Reporting & Projects

• Prepare lease and portfolio reports.
• Maintain accurate data across systems.
• Support acquisitions, financing, and other special projects.

Required Qualifications:

• 3+ years of commercial real estate, lease administration, legal administration, or corporate governance experience
• Experience reviewing commercial leases and managing critical dates
• Strong organizational, analytical, and problem-solving skills
• Proficient in Microsoft Excel and Microsoft Office
• Comfortable adopting new technology and AI tools

Preferred Qualifications

• Experience with lease administration or property management software
• Experience with retail or industrial commercial real estate
• Track record of improving processes or implementing automation
