Distribution Coordinator

Daily Tasks In addition to assigned administrative responsibilities, this role supports overall efficiency and compliance of the facility through accurate documentation and cross‑functional collaboration. Duties include, but are not limited to: Work as part of a united team to achieve operational goals by supporting departments through timely, accurate administrative assistance. Build lasting relationships through authentic communication, demonstrating respect, integrity, and reliability in all interactions—internally and externally. Accurate data entry into internal systems, logs, and trackers to support traceability, compliance, and informed decision‑making. Maintain filing systems and control of documentation to ensure records are up to date, organized, and meet all company and regulatory requirements. Prepare, review, and process facility documentation including job packets, delivery tickets, router packets, inspection forms, and compliance records. Monitor project budgets, timelines, and inventory usage in collaboration with team leads to ensure accuracy and alignment with operational goals. Participate in yard and warehouse observations to ensure documentation aligns with physical activities and operational workflows. Gain exposure to shop environments as needed to observe work progress, confirm data accuracy, and support validation that paperwork reflects actual equipment, part numbers, or work performed. Act as liaison between administrative and operations teams, ensuring clear, timely, consistent communication across departments. Participate in a rotating on‑call schedule, including 24/7 availability for one full week (7 days) on a week‑on/week‑off rotation after training. Standard Role and Responsibilities The first responsibility is to warmly welcome customers to BDS and model our professional, service‑oriented business culture while providing them with the highest quality service and product knowledge possible. Performs administrative and office support activities for multiple supervisors. Position will be on a rotational on‑call schedule every other week. Duties may include fielding telephone calls, receiving and directing visitors, word processing, filing, and faxing. Extensive software skills, internet research abilities, and strong communication skills are required. Staff in this category may have titles such as department assistant, coordinator, or associate. Quality Support and participate in the organization’s continual improvement program to conform to API Q1/ISO 9001:2015 requirements by complying with the quality policy, procedures, and meeting QMS objectives. Must accurately and efficiently perform standard administrative duties, including data entry, clerical tasks, reporting, reconciliation, and utilizing verbal and math skills. Tasks should be completed in a timely manner following written procedures, ensuring adherence to company specifications and industry standards. Documentation Accurately and honestly complete and submit paperwork associated with daily job tasks (e.g., JSA, Safety Docs, FST, FNCR, REQ, timecards). Report any non‑compliance immediately to supervisor or HR. Label or stamp equipment appropriately. Maintenance Team members inventory, maintain, and record all assets, including department tooling, vehicles, and other company‑owned items. Communication Must communicate with team members, customers, vendors, and the community in both written and verbal documentation. Assist colleagues in daily activities and job‑related tasks approved by management. Safety Perform job duties in the safest way possible, aiming for 100% accident free and 100% incident free target. Representative All Bulldog Services LLP team members, acting as representatives, must professionally present and uphold the company’s motto, “Restoring Principles & Integrity One Connection at a Time,” at all times. Physical Requirements Frequent standing and lifting; may spend time in the office and shop as needed. Other Required Responsibilities Lifting of equipment must be done according to the company safety manual (maximum 50 lbs). Other Clothing items promoting non‑business related propaganda are not allowed. Team members must use PPE as required by BDS, in compliance with OSHA regulations and directives. Responsible for maintaining a safe work environment by following all posted and non‑posted safety guidelines found in the BDS safety manual. Hours of Operation Monday through Sunday, 24/7 during on‑call scheduled days on the tower. This is a 24‑hour on‑call tower position. Days off call are worked on a basic day schedule from 8:00 AM to 5:00 PM, depending on workload. General hours on weekdays are 8:00 AM through 5:00 PM, though employees may work beyond standard hours as necessary.
