Assistant Athletic Director/Equipment Manager

Interscholastic Program Administrative Assistant
This position is responsible for performing administrative tasks related to the interscholastic program and assisting the Athletic Director and High School Principal in coordinating, facilitating, and supervising programs that help to achieve the district's objectives in assigned curricular and extracurricular areas.
Primary Functions:
- Acting athletic director in absence of athletic director
- Maintain effective crowd control at all assigned sporting and extracurricular events
- Coordinate game preparation as game manager at select contests
- Schedule distribution dates and maintain updated equipment inventories for all sports
- Repair and inventory equipment during home and away varsity football games
- Schedule and update all transportation needs for athletic teams
- Maintain all physical forms and administer "Final Forms" software
- Report game scores to LNP and submit them in the District III software as needed
- Submit rosters to PIAA and provide them to opposing teams as needed
- Coordinate Student Athletic Academic Eligibility and Reporting
- Send out weekly grade reports to in-season coaches
- Send weekly eligibility lists to teachers
- Notify parents and coaches when a student is ineligible
- Coordinate annual Signing Day Ceremony
- Coordinate Athletic Awards & Recognition
- Prepare awards for the End of Year Awards Ceremony
- Distribute athletic letters and certificates at the end of each sports season
- Assists the Athletic Director with the following:
- Scheduling events and event staffing (including PIAA officials)
- Developing schedules and when needed postponing and rescheduling events
- Monitoring and coordinating facilities and field schedule
- Maintaining and administering the Arbiter Sports software
- Managing and updating of Athletic Department social media platforms
- Purchasing supplies for athletics, student activities and school clubs purchase items whether that be vouchers, credit card, or purchase orders
Scope and Impact:
This position accomplishes its tasks through diversified operating procedures. Internal contacts include administrators, district office employees, buildings and grounds staff, teachers, principals, students and other school district employees. External contacts include parents, outside organizations, the press and the public.
Minimum Requirements:
This position requires a strong understanding of the processes and procedures of an athletic office. A degree or the equivalent is preferred, and one to three years of experience in an athletic office within a school.
Special Skills:
Strong athletic, leadership and organizational skills. Ability to schedule, coordinate and lead. An athletic visionary, an advocate, a coordinator and a strong communicator. Above all, must have excellent interpersonal skills always using tact and diplomacy. Confidentiality is essential. Able to deal with emergency/crisis situations at game events.
Physical/Mental/Environmental:
Physical - Sit: 50%; walk/stand 50% Lifting: Some lifting and moving of athletic equipment required. Mental - Ability to evaluate, interpret and analyze; written and verbal communications. Environment: Diverse environment to include office, playing fields, gyms. Duties include functioning in diverse weather conditions as necessary.
