Administrative & Program Support Assistant

The Administrative & Program Support Assistantplays a critical behind-the-scenes role in ensuring Harmars installation training programs run smoothly, professionally, and consistently. This position focuses on training coordination, class logistics, LMS administration, documentation, and classroom support , with limited facilitation responsibilities. This role is ideal for someone highly organized, detail-oriented, and comfortable supporting instructors and learners in a dynamic training environment.

Training Program & Administrative Support

  • Manage learner registrations, class rosters, waitlists, and scheduling within the Learning Management System (LMS).
  • Track course completions, certifications, assessments, and evaluations with a high degree of accuracy.
  • Maintain training records, attendance logs, scorecards, and performance reports.
  • Serve as a point of contact for internal teams and external learners regarding training logistics and enrollment.

Class & Facility Support

  • Prepare classrooms and training labs before sessions, including materials, equipment, and signage.
  • Coordinate classroom setup, breakdown, cleanup, and reset between sessions.
  • Ensure the Training Center and Lift Lab remain clean, organized, and customer-ready.
  • Support visiting learners, instructors, and guests during training events.

Content & Materials Support

  • Assist with maintaining and updating training materials, presentations, job aids, SOPs, and reference documents.
  • Coordinate printing, version control, and distribution of training resources.
  • Support upkeep and inventory tracking of training equipment, tools, and demo units.

Limited Training Delivery Support

  • Support instructors during hands-on activities as needed.
  • Occasionally assist with facilitation of small segments of training once fully onboarded and trained.

Key Accountabilities

  • Accurate and compliant training records and LMS data
  • Well-organized, professional training facilities
  • Smooth execution of training logistics and scheduling
  • Reliable administrative support for the Training Manager and trainers
  • Positive learner experience before, during, and after training

Requirements

  • Associates or Bachelors degree in education, business, communications, or related field OR equivalent professional experience
  • 13 years experience in training coordination, administration, or program support
  • Experience working in an LMS or similar system strongly preferred

Skills & Competencies

  • Strong organizational and time-management skills
  • High attention to detail and accuracy
  • Clear written and verbal communication skills
  • Proficiency with Microsoft Office and Google Workspace
  • Comfortable coordinating multiple priorities in a fast-paced environment
  • Team-oriented and service-minded approach
