The Role

Rockwater Tax is looking for an energetic Tax Services Assistant to join our growing tax services team! You'll work closely with our tax professionals to deliver an exceptional client experience and keep our tax compliance and advisory engagements moving from proposal to completion.

You'll be the organized, dependable force behind our client work. You'll help prepare proposals, review client financial records, correspond with taxing authorities, and keep documents, calendars, and deadlines on track. We're building this team from the ground up and want someone who brings positive energy, sharp attention to detail, and a "what can I take off your plate?" attitude. You know the person who always has the right file ready before anyone asks for it? That's who we're looking for.

This role is on-site in our Carlsbad office five days a week, Monday through Friday .

The ideal candidate is organized, service-oriented, proactive, and adaptable, with a real interest in tax and a talent for keeping multiple priorities moving forward. This role is well suited for someone who enjoys working in a collaborative team environment, takes pride in quality work, and wants to grow their career in a fast-scaling company.

Key Responsibilities

• Assist in creating professional project proposals.
• Review and analyze client financial records.
• Manage client relationships and provide exceptional customer service throughout the client lifecycle.
• Contact and correspond with taxing authorities, third parties, and other agents on clients' behalf to support their positions.
• Create, review, and format documents and letters into final form.
• Consistently meet project deadlines.
• Schedule appointments, calls, and meetings, and manage shared calendars.
• Contact clients and other associated parties as directed.
• Process incoming and outgoing mail and serve as a first point of contact for clients.
• Prioritize and manage multiple tasks and projects with close attention to detail.
• Organize and maintain electronic and hard-copy account files.
• Maintain and submit time entries for client billing.
• Maintain an 80% billable utilization rate.
• Various ad hoc duties.

Qualifications

• Bachelor's degree in Business Administration or a related field.
• Excellent verbal and written communication skills in English.
• Strong interpersonal skills; thrives as a team player in a highly collaborative environment.
• Superior organization and time management skills, with the ability to multitask.
• Strong attention to detail and pride in the quality of work delivered.
• Proficiency with computers and the Microsoft Office Suite.
• Professional and positive demeanor with a strong customer service orientation.
